**Role: Front Office Administrator**

We are looking for a Front Office Administrator who will be responsible for ensuring our office runs smoothly.

The Front Office Administrator will report to the Head of Management Services and will not have direct reports.

- Teamwork is an office administrator's middle name. As the Office administrator you are able to easily interact with a large range of employees across all levels of seniority and within many different departments. You are also responsible for keeping the Head of Management Services up-to-speed.
- Being a solutions-oriented rather than a problem-oriented person and a driver for change.
- Attention to detail
- Since you are responsible for multiple moving parts, as the office administrator you have a keen eye for the tiniest of details. You need to know the when, how, why, what, and where of everything office-related, can spot potential mistakes before they happen, and ensures everyone’s needs are accommodated for.

**Role Purpose**

The Front Office Administrator oversees operations across the organisation’s office. The Front Office Administrator is responsible for welcoming visitors, coordinating meetings, appointments and directing various administrative projects. Core Responsibilities
- Provide reception coverage which includes the answering of phone calls, redirecting or recording of messages. Liaising with and receiving visitors. (low foot traffic)
- Raising and managing office maintenance issues and arranging for necessary repairs where needed.
- Personal Assistant to Senior Leadership Team
- Assist with the procurement of hardware orders and requirements
- Facilities management, such as office supplies, stationery, refreshments for the office
- Oversee the cleaning of the office and maintain the condition of the office
- Manage office petty cash expenditures - capture and submit receipts/invoices to Xero accounting platform and updating relevant expense spreadsheets.
- Manage local and international travel bookings (flights, accommodation, visas)
- Arrange all logistics of meetings in office/onsite or off site where required/requested
- Arrange weekly team lunches or special orders for individuals or events
- Arrange or assist with events coordination as requested
- Maintain inventory stock office and equipment list, regular checks of these items to ensure the business insurance is kept up to date
- Assist with the review and update of health and safety policies, ensuring they are observed.
- Dissemination of relevant information to the team as needed
- Manage the office expenditure budget and reporting to managem
