Property Portfolio Assistant for the Sectional Title and HOA department plays a key role in providing office support and community support. The appointed person will be working under instruction but the ability to be self-motivated, use initiative and work independently is essential. Must familiarize herself with the company's strategic goals and aspirations to ensure that targets and goals are met. Qualities such as management skills and business acumen will be an advantage as the incumbent should show a level of responsibility.
- **Sectional Title / HOA portfolio assistance or management experience essential**
- **WeConnectU software knowledge essential**
- To assist with the day-to-day running’s of an Estate agency office.
- Capturing of data on our systems and relevant filing for the relevant schemes and office
- Liaising with all parties such as Directors, Trustees, Attorneys, debt collectors, members of BC or HOA and other departments
- Ensuring all compliant paperwork is in place, system is updated with minutes and communications to the communities under management.
- Preparing the relevant AGM packs as well as other paperwork such as resolutions etc.
- Ensuring the capturing & billing for levies, municipal charges, water & electricity
- Handling Insurance claims
- Screening telephone calls, enquiries/requests and handling when/where appropriate
- Ensuring budgets are accurate
- Basic accounting when necessary
- Uploading payments and invoicing for relevant schemes
- Good communication skills (written and verbal)
- Knowledge of POPI and the PPA
- Doesn’t mind a bit of a pressurized environment and meeting deadlines
- Rental duties to assist the National Rental Manager and agents
- Credit checks/vetting and Drawing up of leases on occasion and ensuring they are returned signed by all parties
- The offices are based in the Southern Suburbs, advantageous to live in the area.
