Extended Hours Project Coordinator

We are seeking a Project Manager to join us and take our after hours client support experience to the next level for our business. Your role will report to Manager - Client Experience Extended Hours and will work with a team of 4 international team members. You will be a vital part of helping us grow business operations and will be relied upon for your project organization, attention to detail, and responsiveness.
- The Extended Hours Project Coordinator provides support to the Client Experience team during the weekdays of their shift as well as over the weekend. During the weekdays, you will be working in close collaboration with the lead Project Managers. On Saturdays and Sundays, you will be working autonomously, acting as an extension of the Client Experience team to deliver consistent project management to the clients. You will be extensively trained and provided instructions to handle each project autonomously over the weekend.**LOCATION AND SHIFT**
The shift for this position aligns with
- **US business hours in Central Time. **The employee can choose between the following schedule options:
- 7am - 6pm CT (2pm - 1am SAT) - Friday through Monday (four, 10-hour days)
- 8am - 5pm CT (3pm - 12am SAT) - Thursday through MondayWhat you will do:

- Use multiple software platforms to process and navigate through support requests
- Maintain high support volumes with mínimal supervision
- On workweek days, support service operations:

- Assist Primary Project Managers with project setup, link testing, daily status reports, fielding recommendations, supplier updates, DIY sample management, and reconciliations
- Liaise with suppliers to gather information for quotes and support coordinate projects in field
- Monitor queue at start, middle, and end of shift to assist with task assignments to ensure deadlines for all incoming tasks are met
- On weekends, independently keep service operations running:

- Act as an extension of the Project Managers on the weekends and deliver the highest level of service in an ever-changing, fast turnaround environment
- Proactively lead advanced market research projects with survey programming, sample delivery, and post-field deliverables from kickoff to successful close
- Lead all aspects of client communication during project delivery including timelines, project execution, updates and issue resolution
- Lead and coordinate support from internal team members and third party partners with clear specifications, timelines, and expectations
- Provide prompt, proactive, and consultative task management
- Clearly and effectively communicate project handoff details and potential challenges to colleagues maintaining a coverage notes log for each project

What you bring:

- Required:
- Bachelor's degree and/or equivalent experience
- 1-2 years hands-on services or operations experience in a client-facing and sales-driven environment
- Native-like fluency in business English, with a wide knowledge of various professional terms from different industries
- An at-home fibre internet connection with a minimum speed of 20 Mbps
- Strongly preferred:
- Located within commuting distance of Capetown CBD, for occasional team and office get togethers.
- Knowledge and experience of DIY sampling platforms, and co-ordination of sample collection across a variety of vendors and clients
- Knowledge of Microsoft Excel, including knowledge of advanced formulas, VLOOKUP, and pivot tables
