Brief Description The purpose of this job is to ensure the efficient and professional coordination and administration of the Mandela Institute Postgraduate Certificate and Short Course programmes. This role involves managing the relationships among students, academic staff and faculty administrators. Overall the role is expected to promote the effective and successful delivery of the Mandela Institute continuous professional development programmes and other relevant functions and events as needed. This will entail the undertaking of executive and administrative tasks as follows: - Academic and financial planning, marketing, selection and admission for the continuous professional development programme. - Programme co-ordination and administration of all aspects pertaining to the successful delivery of the Mandela Institute postgraduate short certificate and short course programmes. - Assist the Director with course motivations, development and approval by the School and Faculty level curriculum committees. - Supervision of financial administration in consultation with financial administrator in relation to short course programme financial administration. - Maintain, administer and update relevant short course programme content on the School of Law website. - Implementing functions and events of the Institute as developed with the Director and the Business Development Manager. - The incumbent is the face of the Wits University School of Law and Mandela Institute therefore service excellence and hospitality skills are crucial. service excellence and hospitality skills are crucial. Minimum academic and job requirements: 1. A matric certificate. 2. Higher Diploma in a Project Management, Administration or cognate field. A Bachelors Degree in the relevant fields will be an added advantage; 3. At least 5 years in a project coordination, management and administration of academic programmes within a university environment is required; 4. Proven experience working with Oracle (Short Courses and Finance), MS Office especially Excel and database software; and 5. Ability and willingness to work with a team and to work after hours for evening and Saturday lectures when necessary. Key responsibilities: - Coordinating all aspects of continuous professional development (postgraduate certificate and short executive courses), including but not limited to planning, marketing, registration, course material assembly, venue management, processing invoices and managing course evaluations;
- Interface between Director and course participants as well as joint and interdisciplinary course developers;
- Ensure quality of programme experience and hospitality management for the course participants;
- Ability to work under pressure and deadlines;
- Good computer literacy with strong Oracle and MS Office suite skills;
- Excellent presentation skills, delegation and client relations skills;
- Strong interpersonal, delegation and client relations skills; and - Excellent administrative and organizational skills. - Knowledge of the university systems, Oracle Short course system and relevant course development and approval policies. Additional requirements: - Ideally a relevant Bachelors degree;
- Ideally at least 5 years’ experience coordinating academic programmes; and - Knowledge of the executive learning and development sector.
