**Main Purpose of the Job**:

- Personal Assistant and support to the Head of Department
- Assumes responsibility for all administrative, secretarial, Undergraduate and Registrar administration duties at Chris Hani Baragwanath Hospital - Surgery.
- Undertakes to co-ordinate Departmental affairs in conjunction with tasks performed by the administration of the Academic Departmental Head based at Medical School
- Provide administrative support as requested by the Senior Administrator based at Medical SchoolCollaborate with the Hospital HR regarding recruitment and appointment of (joint) staff
- Collaborate with the Hospital Administration regarding issues of common interest to the University and the Hospital

**Duties**:
**Personal Assistant and support to the Head of Department**Assist the HOD with daily administrative duties an completes a broad variety of administrative tasks that includes managing an active calendar of appointments. Follow up with appointments and report to HOD
- Composing and preparing correspondence as requested by HOD.
- Respond to internal and external queries for the HOD on daily basis

**Administrative Duties**
- General Office duties (Telephone, Printing, typing minutes, handling queries, Typing letters etc.)
- Ordering of Office equipment, Groceries and Stationery by means of the the Finance Officer at Medical School
- Minutes taking at all departmental meetings at CHB
- Establishment & Maintenance of the communication systems within the CHB Surgery Department - amongst all the stakeholders being Consultants, Registrars, undergraduate students, support arms of the hospital secretaries, laboratory technicians and all the other related functions such as HR, Finance etc.Compiles and updates staff lists for the Academic Department, Medical School, HPCSA, and hospital Personnel Department.
- Communicate to the Senior Administrator at the Academic Department, Medical School of any changes in staffing establishment, and changes in rank (especially dates of specialist qualifications).
- Processes leave forms for joint staff at CHB
- Application of Continuing Professional Development accreditationSupervises front-line administrative and secretarial staff employed by the province.
- Trains and inducts new members of staff

**Academic Administration**
- Assist the co -ordinator of the Academic Programmes (GEMP III and IV) in distributing the roster, tutorial timeable, mini cex timeables and EBM assignments to academic Staff at CHB. Host and manage the clinical assessments at CHB.
- Liaison with Undergraduate officer at Medical School in gathering exams marks, student queries, student allocation
- Receive and allocated Wits and Foreign Elective Students at CHB.
- Liaison with Post graduator officer at Medical School regarding student registration and rotations
- Receiving and inducts new Local and Foreign Registrars

**Required Qualification Competencies, Knowledge & Skills**
- Grade 12
- National Diploma or Relevant Degree
- 3 - 5 Years Higher Education
- Ability to respond after hours for important, timely or urgent matters
- Team-player who operates in a fast paced team-oriented setting
- Ability to be discrete and maintain confidential information
- Understanding of how to prioritize and respond accordingly
- Strong written and verbal communication skills and the ability to multi-task
