**Purpose of the position**
As the Executive Assistant and Office Manager, you will play a multifaceted role, providing
comprehensive support to the Managing Director (MD) and overseeing the smooth
operation of the office while also managing the organisation's knowledge repository. Your
primary goal is to optimise the MD's productivity, ensure efficient office management,
and facilitate knowledge sharing and learning throughout the organisation.

**Key responsibilities of the position**

**1. Executive Support**:

- Acting as the primary point of contact for the MD, managing his calendar,

scheduling meetings, and handling correspondence;
- Preparing meeting packs and coordinating reports for various meetings, including

Exco and board meetings, HR presentations, workshops, etc.; and
- Taking minutes during meetings and prepare accurate and concise summaries for

distribution.

**2. Office Management**:

- Overseeing all aspects of office operations, including office space management,

service provider contracts, and monthly service payments;
- Ensuring the office space is well-maintained and presentable, coordinating repairs

and maintenance as needed; and
- Managing travel arrangements for the MD and assisting HR & IT members with their

travel arrangements on an ad-hoc basis.

**2. Knowledge Management**:

- Designing and maintaining a centralised policy and learning repository that is

accessible company-wide;
- Collecting, organising, and managing procedures and processes around policies and

other essential documents regularly;
- Ensuring the effective use of the centralised repository across the organisation;
- Curating a diverse range of learning materials to facilitate continuous learning and

development for all staff members; and
- Implementing access controls and security measures to protect sensitive

information in the repository.

**3. Administrative Support**:

- Providing assistance to the HR team and other departments as needed.

**Knowledge and experience required**

**Skills, know-how and experience**:_ _**:

- At least 3 years of working experience in a similar role.
- Computer literacy (MS Office, MS Excel and SharePoint).

**Technical/ professional qualifications**:

- Minimum Matric qualification.
