Facility Manager

**Job Purpose**:
It is the responsibility of the Facility Manager to ensure that the Facility is operating at its optimal level, Meeting all client requirements and ensuring all business objectives and goals are accomplished in desired time frames.
**Qualifications & Experience**:
- Matric.
- Must have an Industrial Engineering Degree.
- Minimum of 5 years experience in Warehouse Management.
- Previous work experience on Cargowise would be beneficial.
**Key Responsibilities**:
Operations
- Implement and maintain operational legal compliance with SHERQ Coordinator.
- Conduct a daily management walk-about of the facility and complete Bi-monthly SHE patrol report.
- Convene daily operations discussions with departmental heads.
- On a weekly basis review stock take/cycle count reports and sign-off and report on discrepancies.
- Conduct regular meetings with key suppliers in order to maintain good relationships.
- Implement SLA's with key suppliers and measure compliance to SLA's on monthly basis.
- Chair monthly safety meetings. Ensure that all departments are operating at optimal levels and that customer SLA's are being adhered to.
- Ensure all incidents are investigated and be part of incident investigation in major incidents.
- Develop and achieve facility objectives, targets and plans (OTP's).
- Compile weekly & monthly management reports (weekly activity report/financial variance reports/support services pack).
- Attend monthly management meetings.
- Drive the 5 S Principles in the Warehouse.
Finance
- Receive information from Ops Admin Controller and prepare financial forecasts and submit to Divisional Support.
- Provide guidance to the team when preparing and updating long range forecast for remaining financial year, and submit the finalized forecast by the 8th of each month to Divisional Support.
- Authorize expenditure within authority levels.
- Follow-up and action over due debtors in order to bring debtors record up to date.
- Verify and authorize pro-forma customer invoices (OE-7) Wrt: Application of correct rates, Ensure that correct invoice methods are used, Verify that invoice details have necessary supporting documents attached, and are approved by client, Ensure that service provided has been invoiced at the end of each month.
- Compile Annual Budgets for respective departments with regards to revenue, cost and business expectations.
- Prepare capex motivations and ensure that quotes have been obtained.
- Customers Identify and pursue new business opportunities with assistance from General Manager.
- Communicate and meet with clients.
- Implement SLA's with key customers and communicate it at all levels; then monitor and continuously measure compliance to SLA's on a monthly basis.
- Prepare customer quotations with the team in line with costing model - depending on the level of customer.
- Prepare rate adjustments for facility specific clients upon anniversary of rate.
- Review and negotiate required adjustment for implementation in consultation with the General Manager.
People
- Conduct performance appraisals for all immediate sub-ordinates.
- Identify and address training needs through the work place skills plan received from the training department.
- Ensure that BPL standards are implemented and understood by all employees by discussing them in the blue area talks and ensure that updates are placed on notice boards.
- Motivate staff and coordinate all staff functions.
- Review employee potential and growth plans - follow-up on the plans.
- Chair/Attend disciplinary and grievances hearings.
General
- Adhere to corporate governance.
- Provide in-put into business continuity plan.
- Prepare for internal and external audits (Financial, ISO, Customer, EC).
- Identify and manage continuous improvement projects.
- Identify and review business and SHE risk assessments with action plans.
- Maintain customer relationships and attend to client queries at all times.
