Duties/Pligte
- Drafting inputs into the Strategy and Business Plan of the Museum in respect of financial management.
- Rendering administrative and secretarial assistance to the Director and the Museum's Advisory Board.
- Providing ad hoc, monthly quarterly and annual reports as per the Museum's Business Plan as and when required.
- Procuring goods and services in line with the finance policy of the University.
- Assisting management with managing the Museum's assets and updating the assets register.
- Administering externally sourced funds and funding contracts linked to the Museum.
- Assisting the cost centre owner in managing the Museum's budgets.
- Inventory control and procurement.
- Administering vehicle pool bookings.
- Administering bookings for the use of the Museum.
- Administering procurement of goods and services from internal suppliers.
- Issuing goods received notes.
- Administering the requisition of diverse payments.
- Administering contracts and payment of suppliers.
- Managing debtors and creditors.
- Administering cashier deposits.
- Filing all financial records for audit purposes.
- Liaising with the Finance and Procurement Division.
- Putting in place systems of internal financial control.
- Introducing and administering a transparent bookkeeping system for the Museum.
- Executing ad hoc functions and administering overtime payments as directed by the cost centre owner.
Job Requirements/Pos Vereistes
- A three-year qualification (NQF 6) in office administration/management.
- At least two years' relevant experience in an office administration environment.
- Hands-on experience in financial management and procurement using Oracle Cloud Financials (OCF) or a similar financial system.
- Computer literacy in the MS Office Package (Word, Excel, PowerPoint) and Oracle Cloud Financials (OCF), or a similar financial system.
- Excellent written and verbal communication skills.
- Strong interpersonal and communication skills, with the ability to engage confidently across multiple stakeholder groups.
- The ability to work in a diverse and changing environment.
- The ability to work overtime based on the operational requirements of the Museum.
