Client Services Manager

**Responsibilities**:
- Attend to all enquiries received from the Issuers and interact with various departments to resolve
- Do memo’s for various departments in respect of upcoming events
- Administer monthly, weekly and ad-hoc reporting for all companies
- Attend Issuer Meetings on request
- Maintain record of special requirements per company
- Administer share allotments, cancellations and other capital change instructions
- Review and approve monthly invoices
- Maintain current contact details for all companies and update CRMoD and Company Contact List
- Peruse daily SENS announcements for upcoming company events and note details
- Identify and escalate Sales Leads
- Liaise with Dividend Department for Dividend Issued Capital Confirmations, Dividend Special
- Instructions and Funding Letters to ensure timeous payment of dividends
- Administer special projects to generate additional income
- Assist with back office processing of voting instructions during peak seasons
- Assist with meeting facilitation during peak seasons
- Attend to escalated shareholder enquiries from Issuers
- Update Sales and Billing sheets to reflect all income generated
- Compile quotations for special projects
- Supply company specific information to CRM’s and other business units upon request
- Ensure that all Issuer enquiries are finalised within 24 hours and inform Issuers when required
- Compile and supply datafiles to third parties
- Ensure that monthly/weekly BND is received timeously from Strate and uploaded for all companies
- Administer Company Take-on’s, Hand-overs and JSE Delistings
**Knowledge and Skills Required**:
- Client services experience at Issuer / Shareholder level
- A minimum of 3 years of experience in Shareholder Communications
- A very good understanding of Registry legislation; Companies Act and JSE Securities Exchange Rules and Regulations
- A very good understanding of Strate legislation and directive
- Knowledge of Co-Operations in respect of Special combined reports and pledges
- Proven ability to handle client service escalated queries efficiently and promptly
- Proven ability to record and run macros for special projects
- Proven ability to process monthly BND Downloads and combined registers
- Knowledge of procedures of listed and unlisted companies
- Knowledge of Share Trusts, Pledged Registers and Share Incentive Schemes
- Knowledge of Issuer Allotments, Cancellations and Transfers
- Proven innovation, creativity and independence
- Interpersonal and leadership skills
- Flexibility to travel when required
- Own transport essential
- PC Literate - including being able to work on Access, PowerPoint and Excel; Workflow Reporting and others
- Excellent knowledge and skills in Scrip Reporting, Housekeeping SCRIP, Workflow, CCTS, Document Viewer, History systems (STS, Rand Reg, STARS, Senreg) and Issuer / Investor Online / Cosmos Company
- Must be able to have conflict and complaint handling skills and must be able to deal with extremely difficult clients
- Good communication skills
- Must be able to balance work priorities to meet deadlines
- Time Management skills are essential
