Procurement & Planning Officer

**Job Summary**
The Procurement & Planning Officer will play a dual role in supporting production Procurement, Planning and Data Management. This Individual will mainly perform most of the Procurement activities required for Production to be carried out. This individual will assist in Planning and Scheduling certain After Sales related activities while ensuring accurate Data Entry and updating of the Main Production Plans of various Factories. They will work closely with the Production, Procurement, and Administrative teams to optimize workflows and maintain data integrity, supporting the overall efficiency and performance of the organization.
**Key Responsibilities**
**Procurement Specific tasks**:
- Create Purchase Orders for various Factories, Task Teams, and Branches using Online MRP System,
- Issue Purchase Orders approved by Management to Suppliers using Online MRP System,
- Follow up with Suppliers regarding Outstanding Orders and issue Bi-weekly Reports to Production Teams regarding outstanding orders,
- Receipt in Delivery Notes/Invoices onto the Online MRP System Updating/Verifying any Pricing/Material changes that are noted on the invoices,
- Maintenance of Material assigned Suppliers, ensuring the best supplier is selected for the Material,
- Maintenance of the Supplier List ensuring it is always updated with the correct contact details and information as required,
- Sourcing Suppliers for Task Specific Materials not on the current Production list of Materials. Required to Source a minimum of 3 Quotes for any new materials not currently available,
- Quarterly Review of Supplier pricing with Other Alternative Suppliers for current Production Materials trying to find the best quality and lowest Priced material for each Supplier,
- Flag all unapproved orders placed on the statement and bring to management’s attention early so that corrective action / action plan can be implemented.
- Sourcing Accommodation for Site Teams.
**Production Planning**:
- Update Factory Production & Task Teams Schedules on Excel based on Daily Feedback,
- Monitor production progress and adjust schedules for Task Teams as needed to address delays or changes.
- Update MRP Online System Daily based on feedback received,
- Send a Daily Report to Production Planner based on Daily Feedback Received,
- Create Work Orders (WO) for Tasks Teams for Various After Sales Related works,
- Create a list of materials required to Carry out the WO and check availability of the materials,
- Notify the Planner of any Long Lead items required to be ordered for WO’s,
- Plan in the WO with available Team, and notify the relevant people when it has been planned in,
**Data Capturing: General**
- Accurately input production, inventory, and operational data into MRP Online Systems or other Kazin Databases. (From Stock counts to bill of quantities / Bill of materials to material issue / packing lists, note list is not exchaustive).
- Verify and audit data to ensure accuracy, consistency, and completeness.
- Organize and maintain records for easy retrieval and secure storage.
- Generate and distribute reports related to production performance, inventory, and other key metrics.
**Cross-Functional Support**:
- Communicate with various teams, including sales, to provide updates on orders or schedules. (More update to build proposed start and end dates. Inform delays and try avoid delays)
- Support continuous improvement initiatives to enhance efficiency in production and data management processes.
- Assist with inventory tracking and ensure accurate stock levels are maintained.
- Ensure compliance with company policies and data privacy regulations.
**Key Skills & Competencies**
- Strong organizational and time management skills.
- High attention to detail with excellent data accuracy.
- Proficiency in MS Office Suite, especially Excel, and familiarity with data entry software.
- Basic knowledge of production planning and inventory management.
- Analytical and problem-solving skills.
- Effective communication and teamwork abilities.
**Qualifications**
- High school diploma or equivalent; a degree/diploma in Supply Chain Management, Industrial Engineering, or related field is advantageous.
- 1-2 years of experience in production planning, data capturing, or administrative roles.
- Familiarity with ERP systems or production management software is a plus. MRP knowledge is to your advantage.
