Project Administrator

Responsible for supporting the successful execution of plumbing projects by providing administrative and coordination assistance. Assisting with project planning, documentation, communication, capturing and stakeholder management. Work closely with the project team, including project managers, plumbers, suppliers, and clients, to ensure smooth project operations and timely completion of tasks.
**Responsibilities**
- Assist in the coordination of plumbing projects, ensuring tasks are assigned, tracked, and completed according to project schedules.
- Collaborate with project managers to develop project plans, including timelines, resource allocation, and deliverables.
- Maintain project documentation, including project plans, schedules, meeting minutes, and change requests.
- Track project progress and update project status reports, identifying any delays or issues that require attention.
- Coordinate office activities and operations to secure efficiency and compliance with company policies.
- Coordinate quality controls to ensure deliverables meet requirements.
- Coordinate the local labour requests with internal and external clients.
- Adhoc duties
- Capture, copy, and scan job cards and compile them into a standard template for invoicing and send to the Finance department.
- Ensuring that the correct items/materials requested are documented and requested for the various sites.
- Maintaining general office files, including job files, vendor files, and other files related to the company’s operations.
- Schedule regular meetings and record decisions (e.g. assigned tasks and next steps)
- Responsible for keeping the project moving forward by making sure everyone has what they need.
- Act as a primary point of contact for project stakeholders, including clients, suppliers, subcontractors, and internal team members.
- Address stakeholder inquiries, concerns, and requests promptly, providing necessary updates and resolutions.
- Assist in procurement activities, including sourcing plumbing materials, obtaining quotes, and issuing purchase orders.
- Coordinate with suppliers and vendors to ensure timely delivery of materials and equipment to project sites.
- Maintain inventory records, track material usage, and reorder supplies as needed.
**Education, Skills & Qualification**
- National Diploma in Building
- Certificate in Project Administration or relevant field
- Working knowledge of project management software
- Proficiency with Microsoft Office
- Excellent interpersonal skills
- Excellent communication skills
- Attention to detail
Require at least 2 years of experience in project administration, project roles or related fields.
