Administrative Officer C: Short Courses

Duties/Pligte- Assisting with the scheduling, organisation, and general administration of short courses in the Department of Civil Engineering;- Serving as the primary point of contact for course participants and instructors. Handling enquiries, providing course information, and ensuring clear communication regarding course- details and logistics;- Coordinating the short course registration and administration process and all administrative aspects of event planning for various short courses;- Arranging travel and logistics for guest lecturers contributing to short courses;- Coordinating the preparation and distribution of course materials, including handouts, instructional guides, and digital resources;- Maintaining accurate and up-to-date records of course registrations, attendance, and completions. Ensuring that all data is securely managed and readily accessible for reporting and- analysis;- Assisting with invoicing and budget control, and tracking expenses related to course administration;- Performing additional tasks related to the administration of short courses, adapting to evolving needs of the Department.Hulpverlening met die skedulering, organisasie en algemene administrasie van kortkursusse in die Departement Siviele Ingenieurswese;- Dien as die primêre kontakpunt vir kursusgangers en instrukteurs. - en administrasieproses en alle administratiewe aspekte van geleentheidsbeplanning vir verskillende kortkursusse;- Reël reis en logistiek vir gasdosente wat bydra tot kortkursusse;- Koördineer die voorbereiding en verspreiding van kursusmateriaal met inbegrip van uitdeelstukke, instruksiegidse, en digitale hulpbronne;- Hou akkurate en bygewerkte rekords van kursusregistrasies, bywoning en voltooiings. Maak seker dat alle data veilig bestuur en geredelik toeganklik is vir verslagdoening en ontleding;- Hulpverlening met fakturering en begrotingsbeheer, en die opsporing van uitgawes wat verband hou met kursusadministrasie;- Voer addisionele take uit wat verband hou met die administrasie van kortkursusse, aangepas by die ontwikkelende behoeftes van die Departement.
Job Requirements/Pos VereistesA relevant post-matric qualification (NQF 6 or higher) in finance, administration, project management;- At least three years' financial administration experience, preferably in a higher education environment;- Proven experience in organising short courses and familiarity with Stellenbosch University's short course systems;- Excellent written and verbal communication skills in English;- Strong interpersonal and organisational abilities;-
'n Toepaslike na-matriek kwalifikasie (NKR-6 of hoër) in finansies, administrasie, projekbestuur;- Minstens drie jaar se ervaring in finansiële administrasie, verkieslik in 'n hoëronderwys omgewing;'- Bewese ervaring in die organisering van kortkursusse en vertroudheid met die Universiteit Stellenbosch se kortkursusstelsels;- Uitstekende skriftelike en mondelinge kommunikasievaardighede in Engels;- Sterk interpersoonlike en organisatoriese vaardighede;- Uitstekende rekenaargeletterdheid ten opsigte van woordverwerking, sigblaaie, web navigasie en e-pos.
Recommendation/AanbevelingKnowledge and experience of student administration within an engineering / science, or technical research environment;- Appropriate experience with Stellenbosch University's financial systems;- Experience in an educational and event managing environment will be highly advantageous.
