Job Description

We are seeking a highly skilled and organized Accounts / Finance Administrator to join our team at LLM Recruitment. As an Accounts / Finance Administrator, you will be responsible for providing exceptional administrative support to our clients in the finance and accounting department.

Key Responsibilities:
  • Systems Management: You will be responsible for managing various systems, including Infosoft and ICE Sage & Sage X3, ensuring seamless operation and accuracy of data.
  • Data Export and Emailing: You will export data from Excel sheets, create calculations and formulas, and email accounts as required.
  • Administration and Filing: You will complete all administration and filing tasks on a monthly basis, maintaining accurate and up-to-date records.
  • Billing Process: You will process and complete all billings within the Portfolio on a monthly basis, ensuring timely and accurate payments.
  • Manual Invoicing: You will manually invoice clients when leases come to an end, ensuring prompt payment.
  • Council Account Retrieval: You will retrieve council accounts and update records accordingly.
  • Client Visitations: You will visit clients when required and maintain regular telephonic communication to ensure excellent customer service.
  • Switchboard Support: You will provide relief at the switchboard, handling incoming calls and queries.
  • Invoice Queries: You will assist with invoice queries via email and telephone, resolving issues promptly.
  • Debits and Credits: You will issue debits and credits to landlords (clients) as required.
  • Reconciliations: You will perform reconciliations with clients, ensuring accuracy and transparency.
  • Client Details Update: You will update client details and consumption reports regularly.
  • Sage X3 Setup: You will create accounts on Sage X3 and manage user access.
  • Meter List Updates: You will update meter lists and manage special Excel sheets created for clients and buildings.
Requirements

To be successful in this role, you will require:

  • A strong understanding of financial systems and processes.
  • Excellent organizational and time management skills.
  • Ability to work accurately and efficiently in a fast-paced environment.
  • Strong communication and interpersonal skills.
  • Proficiency in Microsoft Office, particularly Excel.
  • Experience with Sage X3 and/or similar financial systems is advantageous.
