The Executive Assistant plays a pivotal role in our dynamic team, working closely with company Management and Finance to provide advanced administrative support. This position is tailored for individuals possessing strong legal, accounting expertise, and financial acumen, ensuring comprehensive handling of company secretarial administration and associated matters for the company and various group companies.

About the Role:


This multifaceted and evolving role is ideal for those seeking a challenging company secretarial position. The Executive Assistant is responsible for developing and implementing efficient operating processes, managing statutory records at CIPC, COIDA, and overseeing corporate legal administration and compliance. They will also handle KYC enquiries and requests, manage company data and an online database, and provide HR Administration support for employee contracting, onboarding, and offboarding processes.

Key Responsibilities:



  1. Efficiently manage statutory records at CIPC, COIDA, ensuring timely and complete actions.
  2. Maintain and report on relevant company registers, identifying critical risks and non-compliances.
  3. Oversee corporate legal administration and compliance, including drafting and reviewing basic legal documents (e.g., board/shareholder resolutions, intra-group agreements).
  4. Coordinate and manage the execution of administrative legal and corporate documents to fulfil legal and statutory obligations.
  5. Handle KYC enquiries and requests, managing company data and an online database.
  6. Manage legal contract administration and project management, keeping up-to-date with schedules, documents, and submission deadlines.
  7. Support financial transactions utilizing strong accounting knowledge and financial acumen.
  8. Provide HR Administration support for employee contracting, onboarding, and offboarding processes.
  9. Manage family and management travel arrangements, including finalizing plans, handling visa processes, and bookings.

Requirements:



  1. Full-time, office-based role.
  2. Independent work capability, managing several matters simultaneously.
  3. Proficient in standard MS Office software and online resources.
  4. Excellent oral and written communication skills.
  5. Strong background in accounting, legal knowledge, and financial management.
  6. Relevant academic background: Business Administration or related qualification/certificate preferred.
  7. CSSA / ICS / Paralegal Certificate advantageous.
  8. Over 10 years of relevant work experience, with substantial exposure to legal and accounting domains.

Salary Information:


The estimated annual salary range for this position is R550,000 - R700,000, depending on qualifications and experience. However, the actual salary may vary based on individual circumstances.
