Job Description

At HR Genie, we are seeking an exceptional Administrative Support Specialist to provide high-level administrative support to our CEO and other Executive Committee members.

The successful candidate will serve as a liaison to the board of directors and senior management teams, coordinating executive outreach and external relations efforts. Additionally, they will oversee special projects and manage sensitive matters with discretion.

Key Responsibilities:

  • Manage daily calendars and schedules, resolving any scheduling issues.
  • Prepare presentations, agendas, reports, and other documents in support of organizational objectives.
  • Arrange travel and accommodation for executives.
  • Screen and manage incoming telephone calls, taking and delivering accurate messages.
  • Draft and prepare correspondence for internal announcements and board meetings.
  • Manage executive contacts and assist in preparing and managing presentations and decks.

Requirements:

  • Excellent communication and time management skills, with a proven ability to meet deadlines.
  • Ability to function well in a high-paced environment, performing additional duties as assigned by executives.
  • Accuracy, professional approach, and excellent administration skills.
  • Experience as a Personal Assistant and Public Relations Officer, with 5-8 years of experience.
  • Expert-level proficiency in MS Excel, Word, and PowerPoint.
  • English speaking and a degree in Public Relations or similar.
