Job Summary

We are seeking an experienced Logistics & Administrative Coordinator to join our team at our Stellenbosch office.

Key Responsibilities
  • Invoice clients and maintain accurate financial records.
  • Handle internal stock transfers efficiently.
  • Process supplier invoices and storage/transport-related invoices.
  • Compile, submit, and manage contracts with both suppliers and clients.
  • Collect and organize signed contracts and proof of deliveries (PODs).
  • Coordinate and manage monthly audits, including collecting required documentation.
  • Conduct regular 6-month reconciliations.
  • Prepare and generate monthly commission reports.
  • Manage stock control and provide weekly stock reports.
  • Add new suppliers and clients to our database, including necessary documentation.
  • Address daily queries from team members, suppliers, clients, and transporters.
  • Negotiate rates with transporters and manage communication with them.
  • Ensure transport contracts are accurately compiled and maintained using templates.
  • Keep clients informed about cargo status and foster positive client relationships.
  • Identify key stakeholders at loading and off-loading points.
  • Conduct daily administrative tasks, including data entry and reconciliation of PODs.
  • Plan truck movements and stock delivery on a weekly basis.
Requirements
  • A minimum of 2 years of experience in a logistics role.
  • A relevant degree, which is advantageous.
  • Proficiency in Excel and excellent analytical skills.
  • Strong customer service orientation.
  • Effective planning and organizational skills.
  • The ability to work collaboratively in a team.
  • Meticulous attention to detail.
  • Accurate and efficient work habits.
  • Excellent communication skills, including email etiquette and MS Outlook.
  • Willingness to be available for cell phone queries and problem-solving after office hours.
  • Negotiation skills.

Compensation Package
  • A competitive industry-related basic salary dependent on experience, estimated around R250,000 - R300,000 per annum.
