As a key member of our team at Oxyon Human Capital Solutions, the successful candidate will provide administrative support to the Project Manager and Site Manager, ensuring seamless site operations in Port Elizabeth.
Responsibilities- Site Administration: Provide high-level administrative support to the Project Manager and Site Manager, ensuring effective site operations.
- Client and Stakeholder Engagement: Interact with clients, subcontractors, and visitors, providing exceptional customer service and facilitating smooth communication.
- Communication and Correspondence: Respond to emails, digital queries, and correspondence in a timely and professional manner, meeting the highest standards of communication.
- Calendaring and Travel Arrangements: Manage calendars for senior staff, including making travel arrangements, ensuring seamless planning and coordination.
- Document Management: Draft, edit, and finalize letters, reports, and other documents, maintaining the highest standards of professionalism and accuracy.
- Data Management: Input and update information in databases and spreadsheets, ensuring accurate and up-to-date records.
- Meeting Coordination: Prepare meeting agendas, take meeting minutes, and coordinate logistics for meetings, including room setup and catering.
- Reporting and Compliance: Assist with weekly reports, maintaining accurate records and ensuring compliance with regulatory requirements.
- Office Maintenance: Operate and maintain site office equipment, including printers, copiers, and IT systems.
- Research and Analysis: Conduct research as requested, compiling and summarizing information for reports or presentations.
- Filing and Record-Keeping: Maintain accurate and up-to-date filing systems, both physical and digital.
- Team Collaboration: Work closely with other administrative staff and support colleagues as needed, promoting a collaborative and supportive team environment.
- Confidentiality and Discretion: Maintain confidentiality and security when working with sensitive information, ensuring compliance with privacy policies and regulations.
- Prioritization and Time Management: Ensure deadlines are met, adapting to changing priorities and managing time effectively.
- Professional Image: Present a positive and professional image for Oxyon Human Capital Solutions, reflecting the company's values and standards.
- Qualifications: Grade 12; Diploma advantageous
- Technical Skills: Proficient in MS Office and Excel
- Experience: 2 – 3 years' experience in a similar role
- Understanding: Understanding of basic bookkeeping processes
- Initiative and Problem-Solving: Ability to use initiative to problem-solve and adapt to changing situations
- Residency: Reside in the local area
- Transportation: Driver's license with own transport
