Business Operations Coordinator

About the Role:
The Sales and Reporting Administrator will play a key role in supporting the Managing Director with business reporting and compliance audits. This position ensures business leadership can focus on strategy, sales, and brands, while maintaining efficient operations.
Key Responsibilities:
• Assist with business reporting and compliance audits
• Manage customer billings, rebates, and claim approvals
• Prepare daily, weekly, and monthly reports
• Coordinate the MD's diary and take and/or distribute meeting minutes
• Book travel and manage expense claims
• Compile information for business reviews
• Chase up responses and follow-up actions
• Handle website and social media responses
• Coordinate with designer for artwork approvals
• Archive digital assets correctly
Tasks Include:
• Business reporting and compliance auditing
• Customer billings and claims management
• Recurring sales or analytical report preparation
• Diary coordination & screening of calls/requests
• Taking and distribution meeting minutes
• Travel bookings and expense management
• Manage digital asset storage and social media updates
• Designer co-ordination and digital asset archiving
Requirements:
• Strong attention to detail and proactive problem-solving
• Excellent organizational, interpersonal, and multi-tasking skills
• Advanced proficiency in Excel and Office 365
• Experience as a personal assistant or sales administrator for senior management
• FMCG distribution experience required
• Social media experience preferred
Estimated Salary: $60,000 - $80,000 per annum
