About the Role

We are seeking a highly skilled and experienced Facilities Coordinator to join our team at AFMS Group (Pty) Ltd.

Job Description

The successful candidate will be responsible for:

  • Coordinating reception and switchboard duties, as well as general office administration and assistance;
  • Managing events, building, and office maintenance through Forcelink;
  • Assisting with overseeing all renovation, refurbishment, and building projects;
  • Coordinating awareness campaigns and ensuring OHS compliance;
  • Providing visitor access and assisting in managing designated sites and sub-contractors;
  • Liaising with clients and submitting invoices and management reports;
  • Implementing and adhering to processes and procedures;
  • Assisting with tenant and lease management, ensuring deadlines are met efficiently and effectively;
  • Supporting the business and all departments with travel coordination and arrangements, archiving coordination, and other administrative tasks;
  • Managing designated sites, maintaining service levels, and completing customer-focused tasks;
  • Ensuring proper service delivery according to SLA agreements, performance measurement, and instituting non-conformances if necessary;
  • Reporting accidents and incidents, assisting the Health and Safety Committee, and ensuring OHS compliance;
  • Regularly providing task feedback to clients, ensuring client satisfaction, and completing client requests;
  • Reconciling invoices, approving and processing payments within specified time frames, and familiarizing with approved invoicing procedures;
Requirements

To be considered for this role, you must have:

  • A Grade 12 qualification;
  • A minimum of 2-3 years' experience in facilities management;
  • Excellent written and presentation skills, as well as good working knowledge of MS Office;
  • Previous experience creating and maintaining budgets, contract administration, pre-planned maintenance services, safety, fire, and emergency procedures, Occupational Health and Safety Act, and relevant legislation;
  • SLAs and basic technology in building (handyman, plumbing, and construction);
  • Good interpersonal and leadership skills, self-motivation, proactivity, and ability to work under pressure and meet deadlines;
  • Computer literacy skills and ability to communicate at a high level, being customer-focused, punctual, and possessing integrity;
Salary Range

The salary range for this position is R250,000 - R300,000 per annum, depending on experience.
