**Job Description**

We are seeking an experienced Office Administrator to join our team. The successful candidate will be responsible for ensuring the smooth operation of our office, providing administrative support to our staff, and maintaining the overall efficiency of our operations.

**Key Responsibilities:**

  • Schedule meetings and appointments with internal and external stakeholders
  • Organize and maintain the office layout, including ordering stationery and equipment as needed
  • Maintain the office condition and arrange necessary repairs
  • Partner with the HR department to update and maintain office policies as necessary
  • Organize office operations and procedures to ensure maximum productivity
  • Coordinate with the IT department on all office equipment and technology
  • Ensure timely invoicing and payment processing
  • Manage contract negotiations with vendors and service providers
  • Oversee the office's general and administrative budget
  • Provide excellent customer service to visitors and internal stakeholders
  • Assist in the onboarding process for new hires
  • Address employee queries regarding office management issues
  • Liaise with facility management vendors, including cleaning, catering, and security services
  • Plan and coordinate in-house or off-site activities, such as parties, celebrations, and conferences

**Requirements:**

  • Proven experience as an Office Manager, Front Office Manager, or Administrative Assistant
  • Knowledge of office administration responsibilities, systems, and procedures
  • Proficiency in MS Office, particularly Excel and Outlook
  • Familiarity with office machines, such as fax machines and printers
  • Excellent time management skills, ability to multitask, and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment
  • A creative mind with the ability to suggest improvements
