Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at HR Genie. The successful candidate will be responsible for ensuring a high standard of discipline is maintained among students, fostering a conducive learning environment, and adhering to University values and policies.

Key Responsibilities
  1. Provide paralegal support for student disciplinary matters, ensuring all reported alleged student transgressions are properly recorded and handled.
  2. Arrange set down dates for student disciplinary enquiries/hearings, working closely with Senior Director and Legal Advisors.
  3. Facilitate the issuance of notices to appear at disciplinary enquiries, No Contact Orders, and process sanctions and review outcomes.
  4. Arrange sessions for Pardon Committee meetings and provide professional information and communication services to staff and students.
  5. Process claims submitted by Presiding Officer(s) or Chairperson(s) and maintain an effective document management system.
  6. Ensure efficient delivery of documents for student disciplinary hearings and provide professional services to Ombuds and Adjudicator.
  7. Conduct awareness campaigns and workshops to promote a culture of discipline and respect.
Requirements
  1. Matric/Grade 12 qualification (Paralegal Diploma advantageous)
  2. Minimum 5 years of experience in a similar role, with ability to work independently and manage files/matters with instruction.
  3. Excellent communication and organizational skills, with ability to handle volumes of different matters and work under pressure.
  4. Ability to prioritize tasks, work meticulously, and maintain confidentiality.
  5. Experience in working at a higher education institution and general administration.
