Job Overview

We are seeking an organized and proactive Sales Admin Assistant to join our dynamic team in Cape Town. This hybrid role will support our Senior Experience Coordinator by managing various administrative tasks essential for the smooth operation of our luxury travel services.

Responsibilities

  • Assist the Senior Experience Coordinator with administrative duties, ensuring seamless operations and exceptional client experience.
  • Prepare detailed itineraries for confirmed bookings, aligning tour stops with quoted information to guarantee accuracy.
  • Coordinate restaurant reservations and site visits as required, demonstrating excellent communication skills.
  • Process payments for bookings and communicate details effectively to the accounts team, maintaining transparency and accountability.
  • Create and send reconfirmation emails to agents, ensuring clear and professional communication.
  • Distribute itineraries and relevant information to guides at least one week prior to tours, guaranteeing thorough preparation.
  • Provide on-call support during tours, particularly on alternating weekends, showcasing adaptability and dedication.
  • Maintain open communication with guides during tours to facilitate smooth operations, fostering a collaborative environment.
  • Assist with additional administrative tasks as needed, contributing to the team's efficiency and productivity.
  • Maintain accurate records of bookings and payments for reporting purposes, ensuring data integrity and reliability.

Requirements

  • Strong organizational skills with meticulous attention to detail, ensuring accuracy and precision.
  • Proactive and confident approach to tasks, demonstrating initiative and enthusiasm.
  • Proficient in Microsoft Office, with a solid understanding of Excel, supporting efficient data management.
  • Excellent written communication skills for crafting clear and professional emails, representing the company's values.
  • A degree in Hospitality and Tourism or a related field is required, ensuring a strong foundation in industry knowledge.
  • Strong verbal communication skills and ability to comprehend information effectively, facilitating seamless collaboration.

Compensation

The estimated salary for this position is R250,000 - R350,000 per annum, depending on experience and qualifications, reflecting the company's commitment to fair compensation and career growth.
