We are seeking a highly skilled and experienced Personal Assistant and Committee Coordinator to support the General Secretary (CEO) in the smooth management of her day-to-day affairs and the effective use of her time.

The successful candidate will be responsible for the following key tasks:

  • Providing full administrative and secretarial support to the General Secretary (CEO)
  • Managing sensitive and complex issues in a professional and objective manner
  • Taking initiative as appropriate, especially in the General Secretary's (CEO's) absence
  • Minute-taking for all committee meetings, including Board Meetings
  • Arranging meetings and preparing meeting packs
  • Coordinating travel arrangements, including flights and accommodation
  • Managing internal and external meetings, including rescheduling and providing relevant materials
  • Ensuring the registration of all Designated Agents with the Labour Department
  • Preparing Council meeting packs and ensuring Stakeholders receive meeting packs two weeks prior to meetings
  • Drafting letters and other documents as requested by the General Secretary (CEO)
  • Handling courier and shipment of confidential documents
  • Engaging travel agents to ensure the best and most affordable travel arrangements
  • Arranging air tickets, accommodation, and car hire bookings
  • Ordering stationery and refreshments for meetings
  • Purchasing ad hoc items as necessary
  • Ensuring sufficient office supplies
  • Organizing catering for company meetings and events
  • Meeting and greeting visitors of seniority and those with appointments with the General Secretary (CEO)
  • Ensuring the General Secretary's (CEO's) office systems are maintained and functional
  • Ensuring all filing is accurate and up to date
  • Updating employee and management files
  • Ensuring safe storage of confidential documents
