The Payroll Manager at Gloei Technologies (Pty) Ltd will play a crucial role in overseeing the entire payroll process, ensuring accuracy and efficiency. This position requires strong leadership and organizational skills to manage a team of payroll officers and develop administrative processes.
- The Payroll Manager will be responsible for managing a team of payroll officers to ensure timely and accurate processing of payrolls.
- Key responsibilities include analyzing data to identify areas for improvement and implementing changes to optimize payroll administration.
- The Payroll Manager will also develop and maintain accurate and efficient payroll processes and procedures.
- Preparing and sending out wage sheets to stores for input by the 10th of the month.
- Importing and/or inputting the completed wage sheets into Payspace, checking for anomalies.
- Ensuring each store is processed according to the relevant checklist.
- Verifying paperwork submitted to payroll meets minimum requirements.
- Consulting with managers regarding queries on wage sheets.
- Ensuring staff on maternity leave are not paid during specified periods and leave is inputted correctly.
- Reviewing and quality assuring changes or variations within each store and ensuring correct paperwork is submitted.
- Loading weekly subsistence allowances for Catering and deducting necessary amounts from salaries.
- Ensuring no changes are made without appropriate paperwork, which could include an email.
- Checking for data errors, omissions, and inconsistencies for data integrity.
- Reviewing and inputting new starters, terminations, promotions, transfers, and changes of particulars.
- Reviewing and inputting/actioning any leave and ensuring correct paperwork is submitted.
- Inputting Employment Equity fields for qualifying stores and assisting HR as needed.
- Ensuring employees part of multiple stores have correct additional tax deducted, reviewed annually and when remuneration changes.
- Updating VIP with latest changes.
- Staying current on payroll management trends.
- Ensuring each store is set up according to relevant legal requirements and parameters.
- Updating store information on VIP regarding trading start dates and closures or transfers.
- Assisting with TERS queries.
- Copied correct company set when creating a new store on the system.
- Making payments by appropriate date and cut-off times for each store.
- Checking payroll officers' payrolls for finalization and submission to banks by specific store deadlines.
- Uploading payments to banks and authorizing accordingly.
- Ensuring all staff were paid successfully on the bank the following day after payment.
- Attending to payroll queries from managers or staff members.
- Uploading payslips and IRP5's onto ESS platform on Payspace. Printing payslips where necessary.
- Reviewing payroll account reconciliations and ensuring accuracy.
- Completing full third-party reconciliation and loading on banking platform for payment.
- Preparing PAYE bi-annual, annual, and monthly returns and reconciliations to SARS and submitting through Easy File (EMP 201, EMP 501).
- Running and distributing IRP5 documents to managers for employees.
- Creating and running reports for managers as requested.
- Ensuring increase reporting from payroll is completed and given to HR.
- Preparing relevant reports and distributing them to Bookkeeper.
- Managing timely resolution of payroll queries.
- Consulting with Provident Fund Administrators, Bargaining Councils, Workman's Compensation, and SARS for accurate registration, reconciliation, and payment.
- Inputting provident fund submissions for Sanlam and Momentum online.
- Working out actual hours after viewing bio clocking for warehouse.
- Maintaining confidentiality of non-negotiable information.
- Performing high-level review of payroll administration data for errors, omissions, and inconsistencies.
- Applying for tax directives where applicable.
- Continually assessing ways to enhance and improve systems.
- Registering new companies for UIF within 21 days of opening.
- Building and maintaining sound relationships with functional heads and franchisees across all stores.
- Providing payroll support service to management and staff.
- Running dummy pay slips when requested.
- Reviewing, documenting, implementing, and updating store information, procedures, and guidelines to record each store's payroll history and facts.
- Confirming employment.
- Retrieving IT 88 and implementing it onto the system.
- Keeping abreast of all payroll information, e.g., budget speeches, to implement relevant changes into payroll.
- Effectively recruiting, managing, motivating, disciplining, and training payroll employees to ensure effective payroll service completion within deadline periods.
- Monitoring payroll officers' error ratios monthly and acting accordingly.
- Performing duties as Super User for payroll. Setting access rights for different users.
- Any other reasonable duty required by management.
