Job Title: Team Assistant

Join our team at Rand Mutual Admin Services as a Team Assistant, where you will play a vital role in supporting the Pensions and Medical Management leadership. As a key member of our team, you will be responsible for providing administrative support to ensure effective and efficient service delivery.

Key Responsibilities:
  • Provide general secretarial support to the assigned team members
  • Arrange meetings and manage diaries for the Pensions and Medical Management Department
  • Compile monthly reports for circulation within agreed timelines
  • Arrange and coordinate departmental meetings and catering as needed
  • Typing of reports, letters, presentations, circulars, and general correspondence
  • Handle and manage departmental queries
  • Travel Arrangements: Responsible for end-to-end travel arrangements for the Pensions and Medical Management Department
  • Financial Duties: Assist with budget control, process invoices, and manage financial requests for sign-off
  • Organise and payment for external service providers
  • General Administrative Duties: Minute taking, drafting agendas, circulation of accurate minutes, follow-up on deadlines, and diarizing committee circulars and deadlines
  • Manage departmental documents on SharePoint through editing, version control, and publishing
  • Booking meetings rooms as requested and stationery orders
  • Stakeholder & Project Duties: Assist with logistics for stakeholder training and projects, including venue and courier bookings, and organising and distribution of collateral to stakeholders
Requirements:
  • Grade 12 (Required)
  • Diploma in Office Administration/Secretarial or Project Management (Added advantage)
  • At least 2-3 years of experience in being a Team Assistant/Personal Assistant/Project Coordinator/Event Coordinator
  • Experience in Invoices and Opex management, managing work, and event management
  • Ability to work under pressure, attention to detail, and accuracy
  • Verbal and communication skills, professional personal presentation, customer service orientation, and information management
