Job Title: Administration Manager

We are seeking a highly skilled and experienced Administration Manager to join our team at a Private Hospital. The successful candidate will be responsible for managing all administration staff, including admissions, pre-admissions, billing, auditing, case management, archiving, debtors, and concierge.

Key Responsibilities:
  • Ensure staff admit patients in a professional and orderly manner, with accurate information recorded.
  • Collect deposits and surcharges where applicable, in accordance with hospital policies.
  • Comply with Group Policy and Procedures, ensuring a smooth flow in the administration department.
  • Meet all timelines consistently, with a focus on efficient and effective administration.
  • Oversee and streamline billing and collections processes, ensuring accurate and timely billing.
  • Perform month-end closing of billing group information, maintaining adequate turn-around times.
  • Plan and implement quality assurance for all processes, ensuring compliance with hospital standards.
  • Manage the case management function, ensuring cases are updated appropriately and in line with medical aid agreements.
  • Capacity to plan, organize, and control own work environment, setting priorities and achieving objectives within a given timeframe.
  • Ensure processes are in line with working procedures and policies, maintaining set targets.
  • Ensure accuracy of ICD 10 and CPT 4 coding, analyzing billing errors with appropriate action plans.
  • Maintain up-to-date SOPs, ensuring effective management of cancelled cases.
  • Ensure effective communication and follow-through with medical aids, managing associated administrative tasks.
Requirements:
  • Grade 12 or equivalent NQF level 4 qualifications.
  • Tertiary qualification in Administration or Office Management or related.
Experience:
  • Minimum of 3 to 4 years' experience in a Managerial position.
  • Private Hospital experience.
  • Computer Literacy essential.
  • Sound financial knowledge and the ability to interpret financial data.
  • Experience in clinical leadership.
Skills:
  • Excellent interpersonal skills.
  • Excellent organizational skills.
  • Report writing skills.
  • Analytical thinking.
  • Sound knowledge of the Billings and Tariff guidelines.
  • Ability to function effectively independently.
