Job Summary

Prudent HR Solutions is seeking a highly skilled Property Administration Supervisor to oversee and streamline billing processes, ensure month-end closing of the billing group functions, and maintain and implement quality assurance for all processes. The ideal candidate will have a strong background in property management, excellent communication skills, and the ability to work under pressure to tight deadlines.

Key Responsibilities

  • Billing Operations
    • Oversee and streamline billing processes to ensure timely and accurate delivery of invoices to customers.
    • Ensure month-end closing of the billing group functions, including reconciliations and reporting.
    • Maintain and implement quality assurance for all billing processes to ensure compliance with company policies and procedures.
  • Portfolio Management
    • Manage a portfolio of properties, including leasing administration, billing, and receipts/refunds.
    • Collect and manage tenant payments, including accounts payable/receivable and cash book reconciliations.
    • Provide excellent customer service to external and internal customers.
  • Team Management
    • Lead and manage a team of billing and portfolio management staff.
    • Provide guidance and support to team members to ensure they have the necessary skills and knowledge to perform their duties.
  • Reporting and Analysis
    • Provide weekly and monthly detailed collection status reports to management.
    • Analyze and report on billing and portfolio management metrics to identify areas for improvement.

Requirements

  • Grade 12
  • Relevant diploma in property management field advantageous
  • 2-3 years in a similar role
  • Property industry and utilities experience essential
  • Minimum junior level management experience
  • Intermediate Excel skills
  • Experience in customer service
  • SAGE/MDA experience advantageous
