Job Description:

The Property Administrator role is crucial in providing efficient administrative support to ensure a timely and responsive property administration service. This position assists the Property Manager with various tasks, including budget preparation, variance reporting, and expense reconciliation on SAP.

Key Responsibilities:

  • Leases: Prepare leasing proposals, facilitate leasing documents, and update SAP systems accurately.
  • Debtors: Process tenant invoices, reconcile debtor accounts, and provide support on debtor queries.
  • Recoveries/Utilities: Capture, file, and document recovery/utility bills, and process corrections as needed.
  • Bank Allocations: Ensure accurate bank allocations, reconcile payments, and submit reports to relevant personnel.
  • Supplier: Process supplier quotes, invoices, and reconciliations on SAP, and obtain authorization for payments.
  • Budget: Reconcile Centre Cost, Recoverable Expenses, and Building Maintenance Expenses on SAP, and assist the Property Manager with budget drafting.
  • General Coordination: Attend management meetings, assist with correspondence, and submit reports to Head Office.

Requirements:

  • Fully bilingual in English and Portuguese (Essential)
  • 5 years of administrative experience (Essential)
  • 3 years of contract administration experience (Preferred)
  • Moderate/advanced Excel skills (Essential)
  • 2 years of SAP exposure (Preferred)
  • 3 years of experience in a property/landlord environment (Preferred)
