Job Summary

We are seeking a highly organised and efficient individual to provide exceptional customer service and administrative support to our team. The ideal candidate will be the first point of contact for our clients and visitors, ensuring a professional and welcoming experience.

Key Responsibilities
  • Assist the Executive Technology with administrative and IT duties, ensuring seamless day-to-day operations.
  • Greet and welcome visitors in a friendly and professional manner, providing a positive first impression.
  • Answer phone calls and direct inquiries, ensuring prompt and accurate responses.
  • Manage the reception area, maintaining a clean and organised environment.
  • Coordinate meetings and appointments, ensuring efficient scheduling and communication.
  • Handle mail and deliveries, ensuring timely and secure processing.
  • Maintain and update office records, including contact lists and employee directories.
  • Provide administrative support to various departments, as needed.
  • Assist with document preparation, reports, and presentations, ensuring accuracy and professionalism.
  • Monitor office supplies and place orders, ensuring a well-stocked and efficient workspace.
  • Assist with onboarding new employees, providing a smooth transition to office procedures and policies.
Requirements
  • High school diploma or equivalent; additional qualifications in office administration are a plus.
  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficient in Google Office Suite and/or MS Office.
  • Strong IT skills are an advantage.
  • Experience with the WorkPool system is advantageous.
  • Strong verbal and written communication skills.
  • Excellent organisational and multitasking abilities.
  • Professional attitude and appearance.
  • Ability to be resourceful and proactive when issues arise.
  • Excellent interpersonal skills and customer service orientation.
  • Ability to work independently and as part of a team.
