Job Overview

We are seeking a highly organized and detail-oriented Facilities Administrator to join our Property and Store Design Department.

Responsibilities
  • Support the Facilities Management Team:
  • To assist in raising purchase orders, reconciling invoices, monitoring expenditure, following up outstanding payments, and liaising with the finance team for accurate financial record keeping.
  • Liaise with Suppliers and Contractors:
  • To monitor performance against Key Performance Indicators (KPIs) and Service Level Agreements (SLAs), including attending monthly supplier review meetings.
  • Facilities Support:
  • To support the Facilities department in delivering a consistent and efficient service across the site, including ensuring that all Planned Preventative Maintenance (PPM) schedules are up to date and that any remedial works are undertaken quickly.
  • Customer Service:
  • To act as the first point of contact within the Facilities office during working hours to ensure phone calls are taken and queries are dealt with promptly.
  • Reporting:
  • To produce monthly reports identifying performance against agreed targets and budgets, as well as weekly reports highlighting work completed against logged tasks on the 4Me system.
  • Administrative Support:
  • To maintain internal systems, workflow, and administrative best practices, advising the Building Management Team where necessary.
  • Tasks and Responsibilities:
  • To manage incoming mail, type minutes accurately, and circulate them timely. Prepare management reports and electronic presentations, including design and data extraction. Maintain both soft and hard copy filing systems, ensuring consistency and supporting the management team when required.
