Job Overview

This is a full-time remote role for an Administrative Support Specialist / Executive Administrator. The position involves executive office administration tasks on a day-to-day basis, supporting the team's operations.

Key Responsibilities
  • Review and manage claimant folders, adding and listing documents in reports and addendum reports;
  • Process and summarize reports and documents, updating reports and addendum reports as necessary;
  • Obtain collateral information and request proof of earnings from claimants;
  • Finding out what documents/reports are required and following up to obtain required reports, documents, collateral;
  • Maintain accurate records of all documents received and outstanding in Airtable;
  • Ensure claimant contact numbers are obtained for online assessments;
  • Coordinate appointments with claimants and ask them to bring their CV and proof of earnings to their assessment;
  • Keep the Dropbox folder organized (duplicates deleted, folders in correct place, names correctly);
  • Manage joint minutes (follow up with opposing industrial psychologist and send them out);
  • Track all work done for invoicing purposes;
  • Send deposit invoices prior to releasing reports and keep track of when they are paid by updating Airtable; stay on top of all deposit invoicing;
  • Maintain daily record keeping up to date;
  • Allocate work to industrial psychologist in a logical manner;
  • Communicate with clients regarding completed work timelines in a friendly and professional manner;
  • Request collateral information prior to the industrial psychologist working on the matter; ensure clients bring CV, payslips, IRP5's, etc. to the assessment;
  • Continuously learn more about reports, opinions, and joint minutes, taking note of corrections made to work done via the review and compare function on Microsoft Word;
  • Maintain effective communication with clients and colleagues in a professional, organized manner;
  • BUILD strong relationships with clients and colleagues through regular interaction and support.
