An opportunity exists for a methodical administrator with exposure in branding and sourcing of promotional products and corporate gifts. The main purpose of this role is to manage inventory, control systems and online sales orders (online stores). The incumbent will be focusing on "getting it right first time" to ensure that correct and precise information is relayed to customers. Excellent administrative ability, liaison skills and superior level of customer service will be to your advantage.

Requirements essential to this position:

- Grade 12 / Matric certificate.
- Minimum 3-5 years’ experience in an administrative role.
- Excellent interpersonal and customer relationship skills in a target driven environment and ability to liaise on all levels.
- Computer literacy - Excel (Intermediate to Advanced level), Word, Outlook, PowerPoint (Basic) Internet Explorer (Ability to use search engines and be internet savvy).
- Basic financial acumen and analytical behaviour.
- Excellent organizational and administrative skills and ability to multi-task.
- Attention to detail and accuracy and must be methodical.
- Ability to take initiative and work unsupervised.
- Ability to meet deadlines and work under pressure and ability to work overtime when operationally required.
- Proficiency in English written and spoken.
- Good team player.
- Proactive, forward-thinking person with an enquiring mind.
- Must be comfortable working in a paperless environment.

Advantages:

- Back-office online store experience as well as experience working on inventory/financial accounting packages.

The successful incumbent to this position will be responsible for:

- Processing online sales orders (Online Store).
- Inventory management and control systems.
- Liaising with the Design Department for approvals and artwork.
- Dealing with customer enquiries.
- Assist the Manager by overseeing client accounts and providing assistance, information and options as needed.
- Liaising with and placing orders with suppliers.
- Daily follow up on all outstanding purchase orders.
- Liaising with the production team and creating instructions for production.
- Follow-up on product completion and liaise with clients to obtain approval within the relevant timeframes.
- Attend to all administrative tasks within the required timeframes including supplier PO’s and customer PO’s.
- Continuous liaison with relevant teams / stakeholders to ensure project timelines are on track in order for client orders to meet their deadlines.
- Ensure that the relevant information has been loaded onto the accounting system as soon as the order has come in.
- Maintaining a progress spreadsheet (order progression).
- General office administration (copying, scanning, filing, etc.).
