5* property in Helderberg area is looking to hire a **Debtors & Reservations Administrator.**

Reservations/Conference
- A minimum of 2 years’ experience in a 5* establishment in same or similar role
- Effective and strong written and verbal communication skills both internally (other departments), as well as externally (clients & guests)
- Ensures that all inquiries are responded to, that accurate quotations are generated and sent to clients within the specified time frame
- Assist the Reservations team when needed
- Use operating systems effectively to improve efficiencies, maintain standards and deliver required service levels, which enable guests to be comfortably accommodated to the highest standards of the hotel
- Ensure call conversations and maximisation of revenue while delivering a positive guest experience
- Ensure correct billing in accordance with function sheet and agreements or booking contracts
- Adherence to the deposit guidelines and control of invoices for completeness and payment on time
- Effective time management skills - deadline driven to ensure release dates are noted and followed through on i.e. provisional bookings, deposits due, signed contracts due, rooming list
- Knowledgeable of ProtelAir as well as major online booking systems
- Assist in compiling weekly function sheets, conference forecast reports and month end reports
- Be familiar with and adhere to company and departmental policies and procedures
- Maintain effective and positive working relationships with team members and other operational/ support areas

**Office/Accounts**

**Revenue**:

- Responsible for daily cash ups and revenue processing
- Make sure that all revenue is properly raised
- Import revenue into Pastel daily
- Process credit cards and direct deposit into Pastel
- Ensure that all relevant control accounts balance daily
- Before month end, ensure that all deposits reflect on PMS system
- Ensure City Ledger, guest ledger and advanced deposits balance between Opera and Pastel
- Assist all departments with all revenue related enquiries where needed
- Ensure that no commissions are paid via PMS System without correct documentation and authorisation

**Debtors**:

- Manage guest ledger every day to see if there are any new debtors/open new accounts
- Make sure all backup is received from front office
- Check all charges and make sure there is adequate back up to bill all accounts
- Scan invoice, voucher, and statement to the relevant debtor
- Do follow-ups on existing debtors
- Assist reservations, conferencing, reception and outside clients with all debtors and payments related queries where needed
- Assist Financial Controller where possible
