A Timber Frame Construction Company based in the Western Cape, Helderberg Area is seeking to employ a Office Manager with at least 3 years' experience in an administrative role with a good understanding of bookkeeping.


Salary :
R12 000 nett per month

Office Hours :
Mon - Thurs 7:30am to 5pm & Fri 7:30am to 3pm

Start Date:
Essential to be able to begin immediately

EXPERIENCE AND QUALIFICATIONS:

  • Matriculation
  • At least 3 years' experience in an administrative role
  • Familiarity with productivity tools, such as Microsoft Office Suite, more specifically Microsoft Excel
  • Working knowledge of/or ability to learn to use office equipment, including printers, machines, and phone systems.
  • Proficient in online banking
  • Good understanding of Pastel
  • Social Media/Web management advantages but not a necessity

RESPONSIBILITIES BUT NOT LIMITED TO:

BOOKKEEPING FUNCTION

  • Online banking (FNB)
  • Monthly cashflow projection
  • Debtors' recon
  • Generate invoices for Debtors on Pastel
  • Account payments
  • Fuel cards
  • Recon & ensure balances are topped up.
  • Credit card
  • Recon & ensure balances are topped up
  • General account management
  • Submit
    ALL invoices to the bookkeeper on a weekly basis
  • Friday
  • Keep concise records of
    ALL:
  • Following up on ALL invoices with suppliers not received
  • Communicating directly with the Bookkeeper regarding all financial matters

PROJECT ADMINISTRATION

  • Prepare essential documentation, reports, and other forms of communication.
  • NHBRC Registrations
  • Insurance Registrations
  • Assist QS with ad hoc duties.
  • Communicate with clients w.r.t personal details and any admin related developments on the project.
  • Manage living out allowances when applicable.
  • Manage the organising of living out requirements.
  • Collate all project documents i.e. COC's

OFFICE MANAGEMENT/ADMINISTRATION

  • Ensuring a good flow of communication between site and office staff
  • Managing and maintain office stationery and sundries.
  • Managing cleaning lady
  • Receive materials delivered to RH office.
  • Communicate with the QS/Buyer what has been received at the office.
  • Arrange what needs to be taken to site with the team leaders.
  • Ensure all faulty /broken tools are repaired timeously.
  • Vehicle management, renewal of licenses, vehicle services
  • Payslips
  • Archiving electronic records and files and general file administration
  • Ad hoc duties

STOCK ROOM

  • Stock control monthly
  • Order items that are needed
  • Manage orders from office to site.
  • Communicate with staff on site w.r.t. orders.
  • Price comparisons

MARKETING - WOULD BE ADVANTAGES

  • Manage social media platforms (Facebook & website)
  • Ensure websites are running optimally (RH & CTFH)
  • Clear all errors that websites may produce (communicate errors to web developer)
  • Edit website articles.
  • Manage marketing strategies.
  • Stay up to date with current marketing trends.
  • Communicate bimonthly website rating feedback with marketing team.
