**Duties & Responsibilities**
- Attend to clients regarding contract sales, spare parts, warranty orders, and freighting within designated timeframes.
- Manage the order and shipping processing to ensure accurate and on-time delivery of customer orders.
- Provide accurate and timely administration of all orders with a customer-focused approach.
- Ensure accurate and timely processing of invoices, including delivery to clients within required timeframes.
- Effectively manage customer shipments in an efficient and cost-effective manner.
- Complete required reports accurately and on time.

**Specific Duties**:

- Generate quotes, delivery notes, and tax invoices for spare parts.
- Send out customer tax invoices.
- Create and send purchase orders for spare parts and capital goods.
- Receive and process vendor invoices for received spares and capital goods.
- Obtain shipping quotes and arrange shipping for imports, exports, spares, and capital goods.
- Create shipping documents, including commercial invoices, packing slips, and certificates of origin.
- Recognize revenue for delivered capital goods.
- Run back order reports to ensure timely delivery of all on-hand stock to customers.
- Provide weekly updates to customers on estimated time of arrival (ETA).
- Run weekly reports to track stock levels.
- Load orders into the ERP system, liaise with clients, logistics, and projects staff to clarify order requirements, and maintain order management folders.
- Send order confirmations or acknowledgments to customers within 24 hours.
- Create and process customer tax invoices within 48 hours of dispatch.
- Accurately process purchase and sales orders into the system, liaising with relevant team members to gather data and clarify requirements.
- Coordinate and review shipping documentation, ensuring compliance with destination country regulations.
- Update shipment schedule with all relevant details and provide shipment pre-alerts.
- Coordinate with project and logistics personnel to update customer order status.
- Coordinate special/new product items with Purchasing and ensure timely delivery or consolidation.
- Provide import/export assistance, including customs clearance coordination.
- Maintain regular communication with Supply Chain and Production Managers regarding order status and customer requirements.
- Update and distribute reports on sales orders, open contracts, and contract closing status.
- Liaise with Finance team on credit history, payment terms, and LC requirements for customer orders.
- Assist with packing and crating of equipment and spare parts as needed.
- Perform other tasks and duties as reasonably requested.

**Desired Experience & Qualification**
- Matric/Grade 12, and a tertiary qualification will be a advantage
- Minimum of 5 years' experience in booking air and sea freight and coordinating export shipments (local and international) is **essential.**:

- Experience with ERP and OzDocs systems is advantageous.
- Understanding of credit management is advantageous.
- Exposure to the manufacturing industry, specifically food and packaging, is advantageous.

**Knowledge**:

- Extensive knowledge of export documentation, including letters of credit, bills of lading, packing lists, certificates of origin, and embassy legalization requirements.
- Solid knowledge of MRP stock control procedures.
- Knowledge of sales order processing and invoicing.
