Ensure that all activities and duties are carried out in full compliance with regulatory requirements, Enterprise-Wide Risk Management Framework and internal ABSA / AVMS Policies and Procedures.
Understand and manage risk and risk events (incidents) relevant to the role.
The purpose of the role is to execute all stakeholders and client’s requests within Wholesale Operations segments. To accurate and effectively administrate capturing and maintaining of the AVMS and Fleet Card Products. To ensure and make effective use all systems etc. in respect of all requests being, but not limited to, the loading of limits, the monitoring of once off facilities - the maintenance of the Leaseman system and CMS / SMS in relation to all AVMS products, in that they comply with policies, procedures, and audit requirements at all times, as well as providing administrative support to front line staff.

Role Specific
- Act as second point of entry in the absence of the Risk Manager.
- Ensure that AVMS have the relevant support networks to ensure effective on-boarding and complete end-to-end service delivery.
- Ensure that all on boarding processes have been fulfilled in Relationship Banking Front Line or CIB, ensuring that the onboarding processes have been followed and loaded to ESP / Customer One, CIB Platforms prior to the systems being opened for quoting of contracts and / or limits loaded.
- Ensure the AVMS Product has been linked on CIF.
- Ensure alignment with the RBB and CIB processes, including but not limited to accounts being loaded and controlled on CIF, CMS, SMS and Leaseman.
- Accurately validate and check all collateral / security and agreements prior to pay out of facilities in line with policies, procedures, and audit requirements, ensuing adherence to Service Level Agreements (SLA) provisions and turnaround times of handling and finalising client’s requests.
- Monitor and control the accurate preparation of all collateral security and agreements.
- Identify individual training needs (skills and competencies) and schedule course via MyHR.
- Manage performance development in respect of team members contracting and performing bi-annual PD checks.
- Support the Risk Manager in identifying and assessment of business risk(s) within the portfolio and ensure that the rusk control processes are adhered to, to maintain an acceptable risk profile.
- Assist with the coordination, implementation, execution and embedment of end-to-end Operational Risk and Compliance Policy Requirements in the AVMS business.
Risk and Compliance
- Ensure all administrative and processing activities comply with the ABSA / AVMS policies and procedures as well as legal and regulatory requirements to ensure compliance and prevent fraud.
- Escalate any deviation to the Line Manager.
- Ensure change to change to processes are effectively incorporated into all administrative activities.
- Work towards the company achieving an acceptable audit level.
- Responsible for ensuring all that all legal documentation, Product agreements and compliance related to all AVMS deals are recorded as per policies and procedures, recorded on Leaseman, CMS, SMS etc. and housed in soft copy on the AVMS share drives and in filled in a controllable order, with effective monitoring and control of same in the AVMS Filing Room.
- Ensure all administrative and processing activities comply with ABSA / AVMS Risk, policies, and procedures, as well as legal and regulatory requirements to prevent frauds and losses which include FICA and CASA Compliance, Conditions of Grant, Security Sign off and loading of correct facilities, with correct interest rates, fees, and expiry dates.
- Maintain a good understanding of all governance and compliance applicable to existing business.
- Understand the importance of compliance and adhere to all internal audit compliance requirements.
- Ensure alignment with Front Line RBB on all high-risk accounts, including PEP clients and that the reviews have been undertaken and provided to AVMS for record keeping.
- Manage once off facility limits, ensuring that they are reduced monthly (currently a manual process).
- Maintenance of all AVMS client accounts, including mandates and signatories.
- Follow up Overdue Reviews and design / Implement a process to monitor and control the Reviews and Overdue Reviews monthly.
- Perform completeness testing on all documentation, including but not limited to AVMS legal Product agreements, AVMS resolutions and AVMS security documentation. Ensuing that all documentation is signed in line with mandates provided by the clients.
