Personal Assistant to Md and Gm

**Main responsibilities**:
- Act as the first point of contact for the MD and GM with persons from both inside and outside the organisation;
- Screen phone calls, enquiries and requests and handling them when appropriate;
- Manage meetings;
- Diary management and making appointments;
- Carry out background research (ie. prices, products, etc.) and present findings;
- Keep and maintain an accurate record of papers and electronic correspondence;
- Overseeing maintenance of office cleaning staff, ensuring proper coverage is maintained;
- Coordinate travel and accommodation requirements;
- Prepare correspondence on behalf of Management, including the drafting of general replies;
- Devise and maintain office systems, including data management and filing;
- Co-ordinate with management and team members to ensure accurate arrangements are made and all information required is communicated effectively;
- Assist in the implementation of operative processes and procedures to ensure effective workflow;
- Update task progress reports and follow up with the relevant individuals;
- Assistance with general financial management, including expense claims, requisitions, recons
- Sourcing, negotiating prices and attaining quotations from suppliers for various projects
- Assist with purchasing supplies related to lodge management and other aspects of the business when required;
- Assist with coordinating the needs of the MD’s properties on occasions
- Assist in the co-ordination and management of specific projects;
- Assist with occasional errands related to the management of personal business for the Managing Director;
- Ordering office furniture, IT related hardware and software, as needed;
- Distributing and managing office keys;
- Some reception duties;
- Other office management related duties as needed;
- Some tasks related to marketing, organising admin for travel shows, appointments, supplier training sessions, etc.
**Salary**: From R15,000.00 per month
Ability to commute/relocate:
- Claremont, Western Cape: Reliably commute or planning to relocate before starting work (required)
