**About the team: Operations**
The operations team is integral to achieving high levels of customer satisfaction by ensuring there is flawless planning, proactive communication and client engagement Operations deliver services to both Manufacturer & Retail clients, ensuring the highest levels of quality, efficiency & cost control, whilst simultaneously ensuring that services continue to meet the requirements of the marketplace
**Head of PMO responsibilities are**:
Develop project scopes and objectives, involving all relevant stakeholders to
Enhance the Project Management competency.
Facilitate Project Management Office oversight to all projects
Align Project Management to Organisational Change Management practices.
**Programme Management**
Supporting the Business Case stage of the process, ensuring all data is needed in the Business Case for the Exec team to be able to decide on the project.
Overseeing the project approval process.
Ensuring budgets are allocated at the outset and tracked by project managers from the outset.
Monitor programme and project progress and holding projects to account.
Escalate risks and issues when needed.
Manage the central resource planning & issues across the portfolio.
Production of programme reporting and collation of inputs for management meetings.
Generate and maintain an overall programme plan for the organisation using appropriate tools.
Ensure project governance standards are met, that all project reporting (risks, issues, progress, etc.) is managed and all programme documentation is produced to required standards. Track and manage inter-dependencies between projects to mitigate resourcing pressures and other critical path risks.
Supporting delivery of projects across the portfolio, ensuring projects are being well managed.
Continuously review activities to ensure that the most effective and efficient approach is being taken per project.
**Project Management**
Manage the operational and tactical aspects of multiple or large scale projects.
Review high-level deliverables across projects.
Implement engagement review and quality assurance procedures.
Minimise exposure and risk across multiple projects.
Manage scope and mitigate risk across projects.
Manage the various strategic projects in the portfolio
**Project Accounting**
Integrate financial data for multiple projects.
Compare financial data across projects.
Address budgeting issues when they arise.
**Leadership**
Challenge others to develop as leaders while clarifying roles and responsibilities.
Pursue Project Management excellence in all aspects of business.
Use knowledge to identify opportunities for change and the ability to convey the need for change.
Build Project Management expertise in CIRCANA.
Encourage creative and innovative thinking from team members.
Help to determine new, creative ways to employ teams on projects and distribute responsibilities.
Work across departments within CIRCANA to share lessons learned and best practices.
Provide guidance and support for junior project managers and other department head in project management best
practice and approaches
**Communication**
Confront issues openly and quickly.
Effectively communicates relevant project information.
Tactfully communicate sensitive information.
Handle difficult personnel situations directly, using appropriate discretion, HR advice, and respect for the individual.
**Legal & Procurement**
Assist Finance Manager and Financial Director with review of various supplier and client contracts
Understanding of POPI & GDPR in relation to the hosting of client customer data
Facilitate the procurement process relevant to projects in the PMO portfolio
Business and Systems process mapping
Demonstrates a fundamental understanding business and system process mapping
Coordinate relevant system and business process deliverables with the Business and Systems Analysis competency
**Strategic Partner**
Service the business as a Centre of Excellence for project management
Provide the business with fit for purpose frameworks and governance structures to support project implementations
