The office of the Chief Financial Officer (CFO) consists of three units namely Finance, Enterprise Risk Management (ERM) and Supply Chain Management (SCM). The PFMA prescribes that the Board for a public organisation must ensure that the public entity has and maintains effective, efficient, and transparent systems of financial, risk management, and internal control. The successful incumbent will report directly to the CFO.
The Office of the CFO of the HSRC seeks to appoint a suitably qualified incumbent to fulfill the position of Office Manager - Office of the CFO. The position will be based in the Pretoria office and is offered on a permanent contract
**Minimum Requirements**:
- A minimum of a post-matric qualification (Diploma in Office Administration or a Secretarial qualification);
- A minimum of five years of proven experience as a high-level executive PA and Administrator;
- Proficiency in English, with excellent written and verbal communication skills;
- Experience in finance, SCM or ERM an added advantage.
- The ability to function independently and under pressure;
- High level of integrity and professionalism to liaise with top-level stakeholders and perform duties in a sensitive and confidential manner;
- Excellent time management and prioritization skills;
- A commitment to excellence, attention to detail, and meticulous and accurate execution of tasks;
**Duties and Responsibilities**:
- Manage all diary matters for the
- Agenda and Minute management of all Finance, SCM, and ERM -related
- Travel arrangements for the CFO, Director: Finance, Head: SCM and Director: ERM.
- Co-ordination of all proactive meeting requirements, e.g., reports, comments, action lists, etc.
- Track and oversee the budget monitoring of the Finance, SCM, and ERM units respectively.
- Support the CFO with all governance reports to all governance structures, internally and externally., e.g. OPF, EXCO, RMS, ARC, Board, etc.
- Support the CFO with any special projects
- Provide financial administrative support to the CFO.
- Liaise with SCM on financial and procurement issues.
- Oversee expenditure report.
- Screening of incoming correspondence to prioritize and assess for further action.
- Preparation of letters, memorandum, presentations, spreadsheets and other documents and review and editing of documents prepared for the CFO endorsement.
- Establish and maintain filing and record management systems;
- Transmission of directives, instructions, and assignments to staff;
- Follow-up and reporting back to the CFO;
