**Description**
- Manage Director’s electronic diary, assessing the priority of appointments and reallocation if necessary.
- Organizing and planning meetings
- Manage Director’s travel arrangements (including visas/accommodation, itineraries, etc.).
- Preparing communications
- Answering phone calls
- Taking notes and writing minutes during meetings
- Conducting or preparing any research that the reporting manager may require
- Process Director’s correspondence, ensuring that incoming correspondence is dealt with by the Directors/or on behalf of the Directors, or other staff as appropriate.
- Maintain Director’s office systems, including data management and filing.
- Maintain records of the Director’s contacts.
- Screen calls, enquiries, and requests, and deal with them when appropriate.
- Assist Directors in researching and following up with action on matters which fall within the Director’s responsibility - chasing responses, and triggering follow-up action.
- Produce documents, briefing papers, reports, and presentations for the Directors.
- Organise meetings and ensure that Directors are well prepared for those meetings, preparing agendas, pre-meeting briefings, and meeting papers.
- Assist/support Directors in arranging funding partners and other events.
- General Filing & Administration Duties
- Ad hoc duties requested from time to time
- Out of Office duties as and when required
**Desired Experience and Qualification**
- Interest and broad knowledge of Technology and social matters
- Grade 12 & Higher Qualification
- 10 years plus Experienced Personal Assistant at senior management level.
- Experience of electronic diary management.
- Exceptional interpersonal and communication skills, to enable professional interaction with a wide range of contacts, both internal and external.
- Ability to organize and plan own work.
- Excellent attention to detail, with the ability to maintain a high level of accuracy.
- A flexible, proactive approach to work including the ability to prioritize and re-prioritize.
- Proactive and Ability to work on own initiative, deal with issues on their own and produce results or completed tasks.
- Ability to deal with sensitive information with discretion and to maintain confidentiality.
- Excellent Computer Literacy skills, including a working knowledge of presentation software packages, preferably Microsoft Office Word, Excel and PowerPoint.

**Job Types**: Full-time, Permanent
