**Property Administrator**
The Property Administrator is to key member of the Property Management team and
provides administrative support to the Property Manager. This role is responsible for the full
administrative function regarding the onboarding and ongoing support of tenants. The
Property Administrator acts as the first point of contact for tenants on aims to resolve any
matters before escalating to the Property Manager. One of the key responsibilities of this
role is to assist the Property Manager with the preparation of the Management packs,
rolling forecast.
**Ensures accurate tenant statements by coordinating the onboarding of tenants inline with internal processes and regulatory requirements.**
Monitors and maintains standards, procedures and policies to lease administration and capturing thereof onto BROLL.
2. Monitors the lease tracking registers for the portfolio.
3. Coordinates commission claims ad the approval thereof.
4. Manage talent profiles on Broll.
**Prepares monthly journals for review by Property Manager as input into tenant statements.**
Prepares monthly journals, including ad-hoc utility files and submits to Credit Controller.
Calculates and monitors turnover rentals on an annual basis.
**Provides administrative support with the occupation of new tenant leases as well as the renewal of existing leases.**
Generates all offers to tenants as requested by the Property Manager.
2. Ensures that all documentation and regulatory requirements are adhered to for all leases (existing and new).
3. Provides feedback to Property Manager on upcoming on upcoming expiring leases.
**Provides support on the financial aspects of a specific property.**
Annual budget:
- Loads accurate budget on BROLL os received from the Property Manager.
- Assist with preparation of annual budgets, income projection and expenses as well as items of on capital nature.
Valuation budget:
- Assists with the generation of the valuation budget to establish the value of a specific property.
- Assist PM in reviewing recoveries and follow up on all shortfalls in recoveries.
Financial support:
- Assists with monthly Management pack and submits draft to Property Manager for review.
- Prepares Rolling forecast and updates assumptions to explain variances in actual versus budgeted amounts.
- Investigates and provides explanations for any variances on income items.
- Assist internal and external Auditors with any information required.
- Prepares and provides non financial information such as minutes, operational reports or information required for marketing purposes)
- Updates and maintains accurate information on BROLL by using the system effectively.
**Ensures proper storage of tenant files on BROLL as well as the safekeeping of actual files.**
- Issuing of files after lease have been loaded on authorised (online and in safe).
- Archiving of vacated files.
**Identifies and manages business risk.**
- Ensures compliance with relevant Acts.
- Controls manages and governs the processes and systems within area of accountability to ensure compliance and minimise the business risk.
- lmplements all oudit recommendations in area of accountability and resolve audit findings timeously.
- Designs, obtains approval, implements and maintains policies within the area of responsibility.
