An established, dynamic and well-known company based in Paarden Eiland, has an opportunity available for an experienced individual that specializes in personal assistance & event coordination. Great opportunity to join this fast-paced team with your excellent communication skills in both English and Afrikaans and add value to the smooth running of all of their office requirements. They are looking for a technical strong Personal / Event Coordinator with a minimum of 3 - 4 years’ experience to come in and hit the ground running.

You will be responsible for but not limited to:
Full minute-taking of all meetings

Arranging of meetings and preparation of reports

Assisting with arranging flights and accommodation as requested

Experience and/ or in minute taking with excellent command of the English language

Schedule internal and external appointments for the General Manager and Director as and when requested

Ensure all appointments are captured in the Director’s diary and electronic calendar

Management of internal and external meetings (rescheduling when necessary and providing relevant materials prior to the meeting)

Constant on time reminders for meetings to staff and clients

Coordinate client and staff meetings where necessary

Draft letters and documentation as and when requested

Handle couriers of confidential documents

Assist in arranging all air tickets, accommodation, and car hire for the General Manager and Director when and if required

Order office stationery

Order and provide refreshments for meetings and guests, monthly as requested

Purchasing adhoc items as and when necessary

Always ensure sufficient office supplies and consumables

Organize catering for company meetings and events, as required

Meet and greet all visitors of seniority and those with appointments

Ensure all office systems are maintained and functional

Ensure all filing is accurate and up to date constantly send consistently update all employee and management files

Ensure safe storage of all confidential documents

Full minute taking function and compilation of minutes for all meetings

Manage cleaning staff and maintain cleanliness and orderliness of the office

Assist with financial filing

Booking of events / road shows locally and in other provinces

Assisting by setting up of events

**Requirements Education**:
Grade 12/ Matric

Diploma / Certificate

Event Planning will be adv.

Knowledge of MS Office (Word, Excel, PowerPoint & Outlook)

3 - 4 Years of related experience in an office environment within the travel / tourism industry will be adv.

Must be willing to travel extensively to different provinces and assist with the events

Own reliable transport

Ability to prioritize tasks according to importance in a fast-paced environment

Multi-tasking capability without compromising on quality

Excellent command of the English & Afrikaans language

Able to communicate effectively, both verbally and in writing

Able to work independently

High levels of motivation and enthusiasm

Dependable and punctual

Excellent interpersonal skills

Excellent time management skills with a proven ability to meet deadlines

Basic salary on offer depending on experience. Must be able to start immediately.
