Personal Assistant Roles

  • Act as the point of contact between the CEO and internal/external clients and stakeholders.
  • Devising and maintaining office systems, including data management and filing.
  • Arranging travel, visas, accommodation, and occasionally travelling with the CEO to take notes or dictation at meetings or to provide general assistance during presentations.
  • Screening phone calls, inquiries and requests, and handling them when appropriate.
  • Meeting and greeting visitors at all levels of seniority.
  • Organizing and maintaining diaries and making appointments.
  • Taking dictation and minutes.
  • Carrying out background research and presenting findings.
  • Producing documents, memos, spreadsheets, reports and presentations.
  • Organizing and attending meetings and ensuring the CEO is well prepared for meetings.
  • Liaising with clients, suppliers and other staff.
  • Other associated tasks for the CEO.

Human Resources & Office Management

  • Providing orientation for new staff including participating in interviews, onboarding and making sure documentation and employee files are up to date.
  • Organising training for staff where appropriate and on request of senior management.
  • Working with the company's labour advisors to administer grievance meetings, disciplinary actions including warnings and hearings alongside senior managers.
  • Log attendance of staff for payroll and verify sick notes and leave requests.
  • Provide information to staff regarding company policies, procedures, the company pension fund and loan agreements.
  • Ensure all company vehicles are licensed and manage traffic fines received by company vehicles.
  • Log injuries on duty, administer Workman's Compensation claims and collect documentation from company doctor.
  • Manage offboarding of staff including UIF claims and associated documentation.

Job Type:
Part-time

Part-time hours: 20 per week

Salary:
R R150.00 per hour
