Function Coordinator

**MAIN DUTIES**
1. To discuss the function with a client, ascertaining and noting his/her exact needs.
2. To show the client the various facilities available, advising and discussing the merits of the various options.
3. To advise and discuss the choice of menus.
4. To advise and discuss alcoholic and non-alcoholic beverage requirements.
5. To advise and discuss table plans.
6. To ascertain what entertainment, if any, is required.
7. To ascertain what table requirements, eg flowers, are required.
8. To confirm the availability of the facilities required.
9. To monitor and control provisional and confirmed function bookings, and ensure that no double bookings occur.
10. To confirm all details in writing to the guest.
11. To update status board and advise all departments once confirmation of the function is received, normally under the manager’s signature.
12. To assist during the function.
13. To be constantly aware of new business opportunities and action these.
14. To be available to conference organizers at all times during a conference.
15. To ensure the cleanliness of all conference, function rooms and ablutions.
16. To ensure that all necessary stationery requirements are in place.
17. To ensure maximum security of all areas, paying attention to valuable assets, eg. silverware, crockery, tableware.
18. To ensure that all the equipment requested is in position and in working order, particularly audio and sound systems.
19. To ensure that water jugs, glasses and refreshments are replenished at regular intervals.
20. To ensure that ashtrays are changed during each break.
21. To ensure that the requested refreshments are served timeously.
22. To perform any other reasonable request by management.
23. To attend meetings and training courses as and when required.
Ability to commute/relocate:
- Johannesburg, Gauteng: Reliably commute or planning to relocate before starting work (required)
**Experience**:
- corporate/ catering/ hospitality industry: 3 years (required)
