Our client is looking for an **Office Manager** on a **Hybrid** basis with responsibilities centered around keeping the back office going. Whether arranging **flights and accommodation** for colleagues, arranging** gifting** for customers, restocking snacks and drinks at the office or helping with** billing and invoicing**, you will be an integral member of this advanced, largely** remote team**.** **If you love making things happen, keeping things in order and managing multiple responsibilities and have an** interest or curiosity in Cyber Security** and the community surrounding **hackers**, this role is for you.

**Your day to day activities**:
**Office Admin**:
- We're looking for an
- **office manager** to help run our Cape Town office (remote with occasional office visits) as well as to help manage customer
- ** billing and gifting**.- Apart from managing the office in Cape Town, you'll be involved in billing as well as delighting our customers.

**Customer Billing**:
- In most orgs, billing is a fairly mechanical process that can be done by a well-trained Labrador. We treat our
- **customers special** and this means we need
- ** smart**,
- ** empathetic** people behind our accounts. We have chats with them, we
- ** improve processes** where needed, and we make things easier for our customers.

Specifically, you will need to handle invoicing and renewals:
- Create invoices & payment links for the sales team & customers (currently we use a combination of
- **Freshbooks** &
- **PayPal**).**Renewals** - Send over renewals to existing customers each month (making use of both
- **Salesforce** &
- **Zendesk**). Working with the Customer Success team to ensure successful renewals and assisting them with
- **additional purchases**.

**Office Logistics**:
We're a
** remote-first company**, however, some folks still make use of our offices which are equipped to encourage building (or breaking ) stuff. We fight
** against bureaucracy **and normal "office standards". Your role will include:
- Office management - Going into the Cape Town office once a week and the
- ** ordering of supplies**.- Conferences - We attend a bunch of
- **international conferences** each year (including San Francisco, London, and Las Vegas). You would be responsible for
- ** handling the logistics** of these: Booking flights + hotels, ordering
- **swag** etc.

**Gift Management**:
We
** delight our customers** with our support, with our products, and even with our lovely gifts. We focus on
**considering the small stuff**; gifts get vetted internally (from shirts, to tools, to flasks ) way before they get sent to customers. We wrap,
** we write notes**, we share the love.- Internal
- ** Sourcing** and shipping out of gifts to our team.- External - Overseeing our
- ** customer-facing gift portal**
