**Position Summary**

**Essential Duties and Responsibilities Office Management**:

- Oversee daily office operations, ensuring efficiency and effectiveness in all administrative processes.
- Supervise and manage housekeeping and reception staff to maintain a professional and welcoming office environment.
- Manage office supplies, equipment, and facilities to ensure smooth day-to-day operations.
- Implement and maintain office policies and procedures in alignment with company standards.
- Coordinate office events, meetings, and team-building activities to foster a positive work culture.
- Act as the point of contact for building management, security, and external service providers.
- Ensure compliance with health and safety regulations within the office space.

**General Administration**:

- Provide administrative support to SLT and HR as required.
- Coordinate and document meetings, including agenda preparation, minute-taking, and action item tracking.
- Assist brand teams with internal and external meetings, including scheduling, logistics, and follow-ups.
- Assist in drafting internal communications and correspondence.

**Financial Administration**:

- Assist with budgeting, expense reporting and financial record-keeping.
- Coordinate with the finance department to process invoices, payments and reimbursements.

**Customer and Vendor Relations**
- Manage relationships with vendors and service providers to ensure smooth operations.
- Handle customer enquiries and complaints and resolve issues promptly.

**Special Projects**:

- Participate in and manage special projects as assigned by the executive team.
- Conduct research and provide insights to support business decisions.

**Education & Experience Requirements**
- Essential: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
- Desirable: Relevant tertiary qualification in Office Management or Office Administration.

- Excellent written and verbal communication skills.
- Ability to work independently and as part of a team.
- High level of integrity and discretion in handling confidential information.
- Strong problem-solving skills and attention to detail.
