**Job Purpose**

To provide coordination and administrative functional support for the CIB Digital Office, through the Portfolio Governance Capability within the Digital Office. The role will focus on providing coordination and administration support for the following
Digital Office forums
Digital Office communications management
CIB technology portfolio monitoring and reporting
Digital dashboard updates and maintenance (collaborating with relevant teams)
Digital Office asset procurement and management

**Responsibilities**:

Digital Office Asset Procurement and Management
- Manage the procurement contracts related to the CIB Digital Office and escalate deviations from terms and conditions
- Manage onboarding of resources, permanent, and non-permanent, including contracts
- Ensure expenses are reconciled against budgets, vendor contracts and portfolio plans, escalating any deviations
- Administer and negotiate favourable rates for portfolio logistics and sundry expenses
- Ensure costs are accurate and updated on agreed portfolio management platforms
- Support the change management for the delivery of Digital Office initiatives; managing the logistics, event planning, procurement, and communication
- Address ad hoc requests.

Digital Office Forum Management and Support
- Cadence/Ceremonies establish to manage forums
- Manage meeting agenda, issue log, minutes, and artefacts for Digital Office forums. Including the Digital Office Management meetings and the Data Forum meetings.
- Collect and collate feedback by requesting status updates from external/internal stakeholders.

Digital Office Communications Management
- Manage the communication plan and distribution to stakeholders as per portfolio/capability.
- Manage and maintain communication channels and templates
- Source periodic input and contributions from Digital Office capability teams. Collate, consolidate, and manage formatting of communications to be distributed
- Coordinate communication distribution and manage distribution list
- CIB Digital Dashboard management
- Monthly dashboard updates
- Data population and updates
- Dashboard management and support (as required)
- Power BI dashboard Execution & Enhancements

CIB Technology Portfolio monitoring and reporting
- Support management and oversight of the portfolio funnel
- Follow-up with domain squads and backlog/portfolio updates on inputs for QBR and ahead of 3YP process
- Consolidation, formatting and distribution of portfolio management and communication packs
- Provide feedback to stakeholders on portfolio reporting progress
- Ensure squad, capability members have access to regular communication

Essential Qualifications - NQF Level
- Matric / Grade 12 / National Senior Certificate
- Advanced Diplomas/National 1st Degrees
