Job Title: Receptionist
Location: Near Big 5 Numbi Lodge, White River
Employment Type: Full-time
Job Summary:
Key Responsibilities:
1. Guest Services:
- Greet and welcome all guests with warmth and professionalism, ensuring a positive first impression.
- Handle check-in and check-out processes efficiently, ensuring accuracy in guest accounts and payments.
- Address guest complaints and issues promptly and courteously, escalating to management when necessary.
2. Administrative Duties:
- Answer, screen, and direct phone calls, taking messages when appropriate.
- Maintain accurate guest records and ensure proper documentation during bookings, arrivals, and departures.
- Manage the reservations system, ensuring that all bookings are accurate and up to date.
- Handle payment transactions and maintain an accurate cash register.
- Assist with administrative tasks such as filing, data entry, and maintaining guest feedback reports.
3. Coordination and Communication:
- Coordinate with housekeeping, maintenance, and other departments to ensure timely and seamless service delivery.
- Communicate guest requests and needs to the appropriate teams to ensure a high level of service.
- Keep reception area tidy and well-organized.
4. Promoting the Lodge:
- Promote lodge facilities, activities, and specials to guests to enhance their stay.
- Upsell lodge services such as tours, excursions, and dining experiences.
- Engage with guests to gather feedback and encourage repeat business.
Key Requirements:
- Proven experience as a receptionist or in a similar customer service role, preferably in the hospitality industry.
- Excellent verbal and written communication skills.
- Strong interpersonal skills with the ability to handle difficult situations with professionalism and empathy.
- Proficiency in using booking systems and computer software such as MS Office (Word, Excel).
- Ability to multitask, prioritize, and work under pressure in a busy environment.
- Good organizational skills and attention to detail.
- Positive attitude and proactive approach to problem-solving.
- Knowledge of the local area and attractions in White River is an advantage.
