Our client in property management requires an enthusiastic multi-tasking Administrator to join their team. Relevant qualification and previous experience in property administration is essential. This is a permanent position based in their Sandton office.

AUTOTASK GATE/ ALLOCATION
- Assess client and stakeholder queries to identify the area to be addressed and the nature of the query.
- Assign Autotask tickets to the relevant resource in order for the query to be actioned and resolved.
- Send out tenant communication with regards to general matters affecting all tenants.
- Work closely with internal departments, being Leasing, Operations, Property Management and Finance.

LEASING -EXISTING TENANTS
- Review and sense check renewal lease evaluations including commission calculations.
- Draft all renewal leases and other related documents. Facilitate signing of lease and related documents.
- Receive and check signed lease agreement, witness then to PM for second witness. NE as final signature.
- Load all (new & renewal) lease agreements and other related documents on MDA.
- Scan all leases and other important documents to MDA.
- Provide high level overview of main lease changes to Portfolio Manager.

PARKING
- Prepare and maintain parking ratio calculation for all buildings.
- Maintain parking and/or access tag allocation sheets & load in MDA
- Prepare and post journals iro new parking lease agreements
- Prepare & issue parking & building access tags - new tenants and if required during lease period
- Prepare 14-day parking lease agreements
- Prepare journals for parking and / or access tags, PS to review then post
- Improvements Project - parking summary & physical audit

ONBOARDING - RENEWAL
- Create & manage onboarding renewal tickets
- Prepare Tenant correspondence, obtain confirmation of bank account/guarantees, load debit orders in MDA and maintain electronic tenant file;
- Ensure accurate capturing of concluded renewal lease agreements, addendums and integral letters in MDA;

RENT ROLL RESPONSIBILITIES
- Recoveries:
> Review monthly invoice in relation to tenant recoveries

> Prepare calculations and journals for monthly tenant recoveries

> Legal recoveries - Internal breach letters, external breach letters and other specific legal charges
- Prepare calculations for annual recoveries
- Review and load tenants’ utilities recoveries and liaise with the utility metering service provider where applicable
- Back-up all utility management support
- Prepare and send monthly tenant billing
- Annual review of Utility Deposits
- Correct invoices for which queries were received from tenants before period roll over
- Assist PM with tenant reconciliations (tenant queries details of receipts and charges)

DEBTOR CONTROL RESPONSIBILITIES
- Follow up on debtors in arrears
- Ensure “kind reminders, breach letters etc” are sent to non-paying tenants and charge them accordingly
- Support Property Managers in liaison with legal representative
- Action outcomes from debtors control (i.e. breach letters via courier)
- Credit listing / de-listing

GENERAL
- Assist the Property Manager with general communication to tenants
- Assist Portfolio Manager where necessary;
- Provide bank confirmation letter, waiver letters to tenant, upon request
- Provide/assist wrt BEE certificates and related documents
- Log & follow up with Council re outages
- Communicate and co-ordinate insurance claims
- Mailbox review and clean up
- Clean-up and improvement of MDA and Service desk databases and other projects as assigned.

Relevant qualification (essential)

2+ years previous experience in property administration (essential).

Able to process significant volumes and work under pressure.

Team player.

Efficient, accurate and a good communicator.
