**Duties & Responsibilities**:
ADMINISTRATION
1. Opening Service Jobs:
- Initiate and coordinate the creation of service jobs, ensuring accurate documentation of job details and client requirements.
- Collaborate with the service team to gather necessary information for job initiation.
2. Ordering Stock:
- Manage inventory levels by placing orders for necessary stock and equipment.
- Coordinate with suppliers to ensure timely delivery and maintain optimal stock levels.
3. Invoicing Services Jobs:
- Generate accurate and timely invoices for completed service jobs, incorporating all relevant charges and expenses.
- Verify job details against service agreements and contracts to ensure correct billing.
4. Scheduling Services Jobs:
- Efficiently schedule service jobs, considering factors such as technician availability, client preferences, and job urgency.
- Communicate schedules to the service team, ensuring alignment with customer expectations.
5. Arranging Supplier Payment:
- Facilitate the processing of supplier invoices and ensure timely payments.
- Maintain strong relationships with suppliers to negotiate favourable terms and resolve any payment issues.
6. Monthly Reporting:
- Prepare comprehensive monthly reports detailing the status of opened versus invoiced service jobs.
- Provide forecasts for the upcoming month regarding invoiceable jobs, assisting in financial planning and resource allocation.
**Skills and Competencies**:
- Proven experience in service coordination or a related field.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent communication skills for effective collaboration with internal teams, clients, and suppliers.
- Detail-oriented with a focus on accuracy in invoicing and reporting.
- Ability to analyse data and generate insights for continuous process improvement.
- Knowledge of inventory management practices and procurement processes.
